Idealease Administrator

Overview

The Idealease Service Administrator is in constant communication with our customers to give updates throughout the repair process of their truck(s). The positions will also be tasked with scheduling units needed for DOT/PM inspections, recalls, emissions, and any needed followup repairs. The position will assist with any rental activity, and maintaining accurate contract and customer records.  Success in this position requires strong organizational skills, cross-department communication, and the ability to handle customer, vendor, and employee interactions with professionalism and accuracy.

    IDEALEASE - Central AZ is seeking a detail-oriented and customer-focused Service Administrator to join our team in Phoenix, AZ. In this role, you will provide essential support to our service department by ensuring smooth communication with customers and vendors, assisting with scheduling, billing, and managing rental equipment.     Responsibilities

    • Provide customer-facing support – Answer incoming calls and greet visitors, ensuring professional and timely service

    • Customer communication – Provide constant customer updates throughout the repair process

    • Scheduling – Contact customers with units due for PM, recalls, and any service needs
    •  
    • Billing – Assist with closing repair orders, paying vendor invoices, and billing rental equipment
    •  
    • Rental – Assist with checking in and out of our rental trucks

    Requirements

    • Excellent communication and interpersonal skills
    • Strong organizational abilities and attention to detail
    • Ability to multitask and manage competing priorities
    • Basic knowledge of billing and invoicing processes
    • Proficient with phone systems and customer service software
    • Previous experience in a service administrator or customer support role preferred

Desired Education and Experience

  • High School diploma or higher; advanced education or technical certifications in business, sales, or automotive/truck maintenance preferred.

  • Relevant industry experiencein dealership operations, rental/fleet management, or service leadership roles preferred.

  • Strong background instaff supervision and team development, including coaching, training, and performance management.

  • Practical knowledge ofregulatory compliance, safety standards, and customer service best practices within a transportation or automotive environment.
