Position Title: Student Information Support (Enrollment & Records)
Reports To: iForward Principal, Assistant Principals
Collaborates Closely With: Open Enrollment Coordinator
Employment Status: Non-Exempt (Hourly) / Support Staff Wage Schedule
Employment Length: 12 Months/Full-time (On-site daily)
Job Goal: Working primarily with Enrollments and Records, this Student Information Support position manages the integrity of student documentation for the open enrollment work stream and manages documentation throughout the student lifecycle in coordination with the Open Enrollment Coordinator.
Essential Duties and Responsibilities: Performs diversified duties, including but not limited to:
Records Management: Track incoming transcripts, special education and 504 documentation, expulsion documentation, and other enrollment information as required by the State of Wisconsin and iForward School.
Data Entry: Enter approved students into the Go Idea (or appropriate special education documentation software), Genius, and other systems.
Communication: Conduct phone interviews with parents and guardians to assist them with the enrollment process. Prepare welcome packets for OE students, typically sent on May 1.
Open Enrollment (OE) Support: Assist the OE Coordinator during Spring and Alternative application windows by tracking applicant numbers, sending Principal letters, and conducting phone interviews with guardians.
Special Education and 504 Intake: Facilitate the transfer of IEP and Evaluation files to the SPED Director for approval and coding.
Shared Duties & Cross-Training Requirements
Cross-Training: Employees in Student Information Support roles are required to be crosstrained, capable, and comfortable in the duties of the Registrar, Open Enrollment Coordinator, and Systems Coordinator. This ensures that during cyclical peak workloads (e.g., Spring Enrollment or End-of-Quarter grading), support can be diverted to the area of highest need.
Cross-Trained, Capable, and Comfortable with General Correspondence: Manage daily mail, package quarterly elementary materials, and mail report cards or honor roll certificates.
Cross-Trained, Capable, and Comfortable with Attendance Tracking: Monitor student attendance and failures to participate; generate truancy lists and distribute legal letters via mail and email.
Other Duties
Inventory: Conduct and maintain a comprehensive inventory of office assets once annually.
Perform all other related duties as assigned by the Principal or Administration.
