IMPLEMENTATION SUPPORT SPECIALIST (Acting Cap) STATE OF MAINE JUDICIAL BRANCH

LOCATION: Multiple Regions Multiple Acting Capacity assignments are available with regional priority as follows; Region 4, Region 1, Region 7, Region 8, Region 2, Region 6, and Region 5. Please indicate all regions for which you are willing to serve in this capacity following their scheduled Enterprise Justice implementations. These assignments are available for varied lengths, up to four weeks for each assignment.

Applicants will need approval of their supervisor to serve in this capacity, as eligibility will be determined based on operational need. Assignment may require travel and overnight stays, paid for by the Branch. Please indicate limitations on time available to serve for each assignment.

This opportunity is also open to employees who are not yet trained in Enterprise Justice (EJ) but who may be interested in learning to support case scanning into EJ.

Salary Range: Starting pay is Grade 14 $29.05 - $39.37 per hour.

GENERAL SUMMARY

This is a professional services position supporting internal staff of the Maine Judicial Branch. The Implementation Support Specialist (ISS) plays a critical role in driving the successful digital transformation of Maines court system by providing comprehensive support during the statewide Maine eCourts implementations. In conjunction with the Project Support Team (PST), the ISS will provide on-site support at court locations transitioning to the new case management system, Enterprise Justice (EJ). The successful Implementation Support Specialist will combine technical proficiency with exceptional interpersonal skills, demonstrating the ability to guide judicial staff through complex technological changes with patience, expertise, and professionalism.

Statewide travel and non-standard work hours may be required.

ESSENTIAL JOB FUNCTIONS

  • Deliver on-site support to internal court staff during EJ system implementations.
  • Provide answers to subject matter questions during EJ system implementations.
  • Collaborate closely with the PST to facilitate seamless technology and process integration.
  • Serve as a critical liaison between technical teams and judicial staff during EJ implementations.
  • Troubleshoot implementation challenges and support user adoption of new technological systems.
  • Maintain a list of questions asked by court staff and answers to such questions and provide suggested updates to training materials as needed.
  • Provide feedback to Court Operations regarding training and support needs in court locations during and after implementations.
  • Evaluates the effectiveness of support and analyzes feedback from staff to recommend support improvements.
  • Utilizes written training materials and Knowledge Bank materials designed to assist internal users.
  • Travels to courts and other training sites as needed to provide training and on-site support.
  • Provide feedback on what could be implemented for available functions and future functions of the case management system.

OTHER DUTIES AND RESPONSIBILITIES

  • Performs other duties as required.
  • Required in-state travel will be reimbursed.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED TO BE CONSIDERED FOR EMPLOYMENT:

  • Associates degree in a related field or significant experience in leading, training, and supporting staff in a technical environment.
  • Experience with filing, docketing, scheduling and processing of all case (DC & SC) types and other matters coming before the court.
  • Experience training and providing technical assistance to individuals learning the processing of cases through Enterprise Justice.

KNOWLEDGE, SKILLS, AND TRAINING TO ADEQUATELY PERFORM JOB DUTIES:

  • Knowledge and expertise using the new Court's Case Management System, Enterprise Justice.
  • Knowledge of the procedures, functions, and responsibilities of the Clerk's Office (District and/or Superior), including the use of court manuals, court rules, forms, and the processing of fines and fees.
  • Knowledge and expertise in the use of Microsoft Word, Excel, and Windows.
  • Knowledge and expertise in the use and care of computers.
  • Ability to evaluate training and support effectiveness.
  • Ability to establish and maintain effective interpersonal relationships and ability to communicate effectively.
  • Ability to adapt training and support styles to suit the needs of staff.
  • Ability to work both independently and effectively in a team environment.
  • Ability to be self-motivated and self-aware.
  • Ability to function constructively in a stressful environment.
  • Ability to interact effectively, including written and oral communication skills, with Clerks, other court personnel, Judges and Justices, Magistrates, administrative staff and others within the Judicial Branch.

The position requires a willingness to travel extensively (including overnight travel) and work an irregular schedule.
