Position Overview
We are seeking a compassionate and detail-oriented Bilingual (Spanish) Intake Specialist to join our ABA (Applied Behavior Analysis) team. This role is the first point of contact for families seeking services and plays a critical role in guiding them through the intake and onboarding process. The ideal candidate is organized, professional, and able to communicate clearly in both English and Spanish.
Key Responsibilities
Client Intake & Coordination
- Serve as the primary point of contact for new client inquiries (phone, email, and online)
- Communicate fluently in both Spanish and English with families and caregivers
- Collect and verify client information, including insurance and medical history
- Explain ABA services, intake procedures, and next steps to families
- Schedule initial assessments and coordinate appointments with clinical staff
Documentation & Administration
- Accurately enter client data into internal systems and maintain organized records
- Ensure all intake paperwork and consent forms are completed and compliant
- Follow up with families to obtain missing documents or information
- Maintain confidentiality in accordance with HIPAA guidelines
Insurance & Eligibility Support
- Verify insurance benefits and eligibility for ABA services
- Assist families in understanding their coverage and authorization requirements
- Coordinate with insurance providers when needed
Customer Service & Support
- Provide a warm, supportive, and professional experience for families
- Address questions, concerns, and provide timely follow-up
- Maintain consistent communication throughout the intake process
Qualifications
- Bilingual in Spanish and English (required)
- Previous experience in intake, customer service, healthcare administration, or ABA preferred
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Comfortable handling sensitive information with discretion
- Proficiency in Microsoft Office and/or CRM/EHR systems
