GENERAL STATEMENT OF DUTIES: To independently provide a broad spectrum of substantive, authoritative and technical information through assessment of client/customer needs, research/analysis and resource evaluation; and to do related work as required.

SUPERVISION RECEIVED: Works under the general supervision of a superior with latitude for the exercise of independent judgement; work is periodically reviewed for satisfactory performance and conformance with instructions, guidelines and final objectives.

SUPERVISION EXERCISED: May supervise assigned staff.

ILLUSTRATIVE EXAMPLES OF WORK PERFORMED:

  • To independently provide a broad spectrum of substantive, authoritative and technical informational services through assessment of client/customer needs, research/analysis and resource evaluation.
  • On an ongoing basis, and as the primary work assignment, to interact with clients, customers, officials, the general public, and employees in providing informational services available.
  • To make initial determinations of information required and provide appropriate referral and/or resources or services available.
  • To collect, interpret, organize and/or prepare data for the purpose of complying with informational requests.
  • To maintain currency of relevant information and resources available directly related to the function of the unit or the services provided.
  • As required, to perform a variety of generic clerical tasks including typing, filing recordkeeping, money and fee collection, etc.
  • To do related work as required.

REQUIRED QUALIFICATIONS FOR APPOINTMENT:

KNOWLEDGES, SKILLS AND CAPACITIES: A working knowledge of state government, and assigned services and programs; a working knowledge of general office practices; the ability to perform duties in the areas of information research and analysis, client/customer information assessment, referral and material distribution and resource maintenance and preparation; the ability to perform keyboard functions with reasonable speed and accuracy; the ability to perform routine clerical tasks; the ability to establish and maintain effective working relationships with clients, customers, superiors and the public; and related capacities and abilities.

EDUCATION AND EXPERIENCE:

Education: Such as may have been gained through: graduation from a senior high school; and

Experience: Such as may have been gained through: employment in a responsible clerical position which involved dealing with the public, customers or clients.

Or, any combination of education and experience that shall be substantially equivalent to the above education and experience.

Supplemental Information

Duties and responsibilities primarily include providing complex word processing and data entry support services to two regions of vocational rehabilitation staff and supervisors, including MIS system functions, processing new applications, preparing and posting service invoices to client records, scanning and uploading documents, assisting with processing requirements for federal and state grant initiatives to assist individuals with disabilities to become successfully employed. Faxes client medical record requests to the appropriate health provider and/or doctor's office as well as refers callers and schedules client appointments for the correct supervisor. Issues releases with General Release Cover Letter to health providers and/or vendors for records. Other duties may include case recording services, intake- application handling services, assisting in federal reimbursement and inter-agency employment partnership programs and other related duties as assigned by program Administrator. Assists VR Supervisors and Counselors with organizing and maintaining case records based on federally mandated reporting requirements; may assist with intake sessions; processes applications and referrals; and responds to customer inquiries. The Information Aide is responsible for entering new applications as well as putting client records together in an orderly fashion. The duties involve handling of electronic files and records, scanning, document and MIS database use, document handling, providing back up support for other office functions including mail handling and telephone/reception switchboard coverage.

  • Provide assistance to additional regions when operational needs arise, ensuring continuity of services across locations.
  • Attend and contribute to regional meetings as required to support communication and alignment.
  • Maintain up‑to‑date information, materials, and resources relevant to the unit's functions and the services provided.
  • Collect, interpret, organize, and prepare data to meet informational and reporting requests from internal partners and department leadership.
  • Process invoices and authorization payments from service providers and submit completed documentation to the fiscal department for final review.
  • And other related job duties as requires.
