Information Governance Coordinator (Law firm experience a MUST)
Location : Manhattan, NY (Hybrid 4 days onsite)
Salary : $90,000 $115,000

Our growing client is seeking an Information Governance Coordinator to support the firm's legal information governance and records management initiatives. This role is ideal for someone with experience in legal information governance who enjoys working across departments to ensure compliance, data integrity, secure file transfers, and records lifecycle management. You'll collaborate with attorneys, IT, Records Management, and other business teams while helping maintain best practices for information governance and client confidentiality.

Responsibilities
  • Coordinate all aspects of information governance, including file intake, management, retention, disposition, destruction, and transfers.
  • Manage outgoing and incoming client file transfers while coordinating with IT, Records Management, and legal teams.
  • Review client files to ensure compliance with engagement agreements, outside counsel guidelines, and internal policies.
  • Download, organize, import, and export client files, emails, and electronic records.
  • Import and export PST files using Microsoft Outlook.
  • Review attorney email files in preparation for departures and client transitions.
  • Utilize Relativity and other document review platforms to prepare files for transfer.
  • Track file transfers and reporting using Microsoft Excel.
  • Support retiring partners and departing attorneys with email organization and file management.
  • Participate in office-wide information governance initiatives, including office moves and file cleanup projects.
  • Ensure compliance with records retention policies, legal holds, and ethical wall requirements.
  • Provide guidance to attorneys and staff on information governance best practices.
  • Assist with user training and support on information governance applications.
  • Support quality control and retention program initiatives.
  • Maintain confidentiality while handling sensitive legal and client information.
  • Perform additional information governance and records management duties as assigned.

Requirements
  • Bachelor's degree required.
  • Minimum of 3 years of Information Governance, Records Management, or related experience.
  • Prior experience within a law firm or professional services environment strongly preferred.
  • Experience with Relativity or comparable document review software.
  • Strong Microsoft Outlook and Excel skills.
  • Knowledge of Boolean searching methodologies.
  • Familiarity with PST, MSG, ZIP, and text file formats.
  • Experience moving, copying, zipping, and managing electronic files within Windows.
  • Understanding of records retention, legal holds, ethical walls, and data privacy.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Ability to work independently while collaborating effectively across departments.
  • High level of professionalism and discretion handling confidential information.
