Our client, based in Dallas, TX, specializes in the kitchen ventilation / appliance industry, manufacturing and selling custom range hoods nationwide. Currently, their sales team is growing, and actively looking for an Inside Sales Representative to join the team.
About the Position:The Inside Sales Representative is responsible for assisting dealers and the Outside Sales Team via telephone, email and in person on parts lookup and ordering, returns processing and other sales, technical and customer service functions. Multi-tasking and familiarity with computer catalogs and order processing a must. Provide excellent customer service and data entry of orders received fr om Dealers. This person will also be responsible for answering questions and responding to and resolving all inquiries from dealers (premier customers) by researching dealer issues, inquiries and complaints.
Duties/Responsibilities:- Sell company products and services to dealers by processing orders, providing price and delivery inquiries, providing answers to questions regarding range hoods, soliciting customer orders from dealers and suggesting additional products in a fast-paced multi-tasking environment
- Maintains responsibility of orders from quotation to entering the purchase order in the system
- Responds to customer/dealer inquiries in a timely manner
- Processes dealer/customers' orders and send order acknowledgements to the dealer
- Review open quotes and follows-up with dealer to convert the quote to a purchase order; will seek solutions for special conditions on custom orders
- Checks availability and verifies ship dates
- Increase order size by suggesting related items, explaining features, and checking dealers buying history
- Processes and expedites orders, works closely with manager on returns and returns to vendors in an accurate and timely manner
- Follows-up with Outside Sales team and with Dealers to ensure and/or confirm timely delivery of the completed order
- Works closely with Outside Sales team in soliciting business, executing order transactions and maintaining superior customer service levels at all times
- Communicates effectively and participates positively as a member of the sales team (e.g. sharing work load when possible, picking incoming phone calls, etc.)
- Contributes to maximizing gross margin by ensuring that superior service is provided to the dealers, the Outside Sales team and constantly looks for ways to problem solve
- Reviews open order reports and takes action on open items; specifically, those items that may be at risk in meeting the customer's promised delivery date
- Recommend improvements that will positively impact sales and efficiency
- Other duties as assigned by Management
- Keep Department Manager informed of daily activities, alerts, red flags or issues out in the field with orders and/or quotes
- Handle customer service inquiries, write quotes and process (enter) all orders as received; find resolution things that may come up
- Process and enter Purchase Orders into the NAV system; verify pricing, availability and quantity in stock
- Custom Quotation – create and price on minor customization – verify specifications with assigned approval person; all quotes provided to the dealers must be in writing
- Provide customer service/educate walk-in customers. Refer to dealer as needed
- Process Return Authorizations (RA's) as needed; work closely with Freight Coordinator and President/CEO to ensure these RA's are repaired and returned in a timely manner
- Send all order confirmations to appropriate dealer and provide status updates as requested and maintain constant follow-up with the dealers
- Send all invoices to appropriate dealers
- File order confirmations and keep for 60 days
- File all invoices for dealers
- Purge files as needed – End of year purge all files and pack up for archiving
- Make new labels for all distributor files for next year
- Pull orders from files – new and old – as needed Provide Customer service support on a daily basis
- Provide status updates on orders to dealers when requested; maintain constant follow-up with dealers
- Support for the Sales team within the direct territory on a daily basis
- Other duties as assigned
Qualifications:- Must be detail oriented and clear communication skills with the ability to build rapport with Dealers and internal team members
- Must work well in a team environment; have a "can-do” positive attitude
- HS Diploma or equivalent; Some college preferred
- Must have experience in dealing with the general public in a sales environment
- Must have experience with data or order entry
