Position Summary:
The Install & Compliance Specialist is responsible for coordinating installation projects and managing regulatory compliance activities for propane systems, HVAC equipment, plumbing systems, and related mechanical installations. This role ensures that installations, inspections, and maintenance activities are properly scheduled, documented, and completed in accordance with company standards. This position serves as a central point of communication between management, Project Coordinator, technicians, office staff, sales team, customers, inspectors, and regulatory agencies. In addition to installation coordination, the role supports compliance tracking, tank inspection programs, JLP account management, backflow testing coordination, vaporizer maintenance scheduling, and HVAC planned maintenance programs.
Essential Functions:
- Schedule and coordinate installation projects for propane systems, heating equipment, HVAC systems, plumbing, electrical and related mechanical work.
- Work closely with Project Coordinators, Sales Department, Service Managers, and technicians to ensure proper staffing, materials, and equipment are available.
- Maintain installation calendars, project timelines, and job scheduling.
- Communicate installation schedules, expectations, and updates with customers.
- Ensure all required job documentation, permits, and site information are completed prior to installation.
Compliance and Regulatory Oversight:
- Coordinate permits and inspections with municipalities and regulatory authorities.
- Maintain compliance records for propane systems, including tank installations, pressure testing, system upgrades and reporting requirements such as JLP accounts.
- Track and coordinate required inspections including tank inspections, backflow testing, and other regulatory compliance programs.
- Ensure company procedures remain aligned with industry standards, safety requirements, and regulatory guidelines.
Maintenance Program Coordination:
- Coordinate scheduled maintenance for propane vaporizers and related fuel system equipment.
- Assist in scheduling and tracking HVAC planned maintenance programs.
- Maintain service schedules and documentation for recurring compliance and maintenance inspections.
Documentation and Record Management:
- Maintain accurate installation records, permits, inspection reports, and compliance documentation.
- Manage digital and physical job files and regulatory documentation.
- Ensure all required documentation is completed and submitted by technicians.
- Track system inspections, pressure tests, and required regulatory reporting deadlines.
Safety and Quality Assurance:
- Support internal safety audits and compliance reviews.
- Review installation and inspection documentation for accuracy and regulatory compliance.
- Assist with incident documentation and reporting if required.
- Promote adherence to company safety policies and best practices.
Other Tasks:
Performs other work-related duties as assigned.
Education:
A high school education or equivalent experience in business administration, construction management, energy services, or a related field preferred.
Experience:
Experience in propane, fuel oil, HVAC, plumbing, mechanical services, or construction industries strongly preferred. Familiarity with permitting processes and regulatory compliance requirements is desirable.

There is frequent interaction with managers and employees at various levels throughout the company as well as interaction with vendors.
Decisions Made:
The Install & Compliance Specialist makes all day-to-day operational decisions and deals with customer service issues. More complex decisions are made in consultation with the Administrative Service Manager.
Safety Considerations:
Safety considerations relate to proper ergonomics in an office setting including proper workstation setup. In addition, while in the field, the Install & Compliance Specialist should prioritize safe and appropriate use of personal protection equipment.
Equipment Used:
Normal office equipment includes a personal computer, cellular smart phone, copier, and telephone.
Work Environment:
Most of the work is performed in an office setting with controlled temperatures. The heating season is typically faster paced than the rest of the year.
Physical Requirements Analysis:
- The position requires frequent sitting, standing, and walking.
- The position requires some manual labor while assisting service activities.
