Installation Coordinator

Jay's Heating, Air & Plumbing is looking for an Office Coordinator to help support our growing HVAC, plumbing, and home services operation.
This position is a blend of scheduling, customer communication, administrative coordination, and team support. You'll work closely with our installation, sales, and leadership teams to help keep projects organized, customers informed, and daily operations running efficiently.
We're looking for someone who is dependable, detail-oriented, and comfortable managing multiple priorities throughout the day.
Position Overview
The Office Coordinator serves as a central point of communication between customers, installers, field supervisors, vendors, and the office team. This role helps ensure installations are properly scheduled, prepared, and completed with a high level of organization and customer care.
Key Responsibilities
- Manage installation scheduling and daily coordination
- Prepare and maintain job files and project documentation
- Communicate with customers regarding scheduling, updates, and questions
- Coordinate inspections, permits, and subcontractors as needed
- Support installers and field supervisors with job-related information
- Assist the sales department with appointment scheduling and lead tracking
- Maintain accurate records and internal communication between departments
- Help resolve scheduling conflicts and customer concerns professionally
Qualifications
- Minimum 2 years of office, administrative, scheduling, or coordination experience
- Strong communication and customer service skills
- Highly organized with the ability to prioritize tasks effectively
- Comfortable working in a fast-paced environment with shifting priorities
- Proficient in Microsoft Office and web-based systems
- Experience in HVAC, plumbing, construction, or home services is helpful but not required
- Dispatching or purchasing experience is a plus

- Monday through Friday
- 8:00 AM - 5:00 PM
