INSTITUTIONAL AFFAIRS COORDINATOR

Department: Strategic Communications

Reports To: Assistant Vice Chancellor for Strategic Communications

Classification: Coordinator (Professional)

Status: Full-Time

Position Summary

The Institutional Affairs Coordinator provides internal and executive communications support for Louisiana State University of Alexandria, helping ensure that leadership messages, presentations, briefing materials, announcements, newsletters, event communications, and other assets are clear, polished, accessible, and aligned with institutional brand standards. Reporting to the Assistant Vice Chancellor for Strategic Communications, this role supports high-visibility and time-sensitive communications needs for the Chancellor's Office, executive leadership team, and the Division of Strategic Communications by translating institutional decisions, priorities, initiatives, events, and accomplishments into consistent messaging for faculty, staff, students, campus stakeholders, and external audiences as needed. With a strong working relationship with the Chancellor's Chief of Staff, the coordinator serves as a trusted partner in strengthening clarity, consistency, institutional alignment, and effective communication at the senior leadership level.

Key Responsibilities

Develop, write, and coordinate internal announcements, campus messages, employee communications, newsletters, updates, and other materials that strengthen institutional awareness, alignment, belonging, and confidence in university priorities.

Help develop and maintain a more intentional internal communications structure for LSUA faculty, staff, students, and campus stakeholders, including systems, templates, calendars, and processes that improve consistency and reduce reactive communication demands.

Translate institutional decisions, initiatives, events, accomplishments, and priorities into clear, accessible messages for internal audiences and key campus stakeholders.

Create talking points, briefing documents, leadership messages, and strategic messaging frameworks that help executive leadership communicate consistently.

Develop and produce executive communications assets such as print and digital materials, slide decks, briefings, and presentations for internal and external audiences, including university events, LSU System initiatives, legislative engagement, Board of Regents and LSU Board of Supervisors interactions, and other executive-level requests involving LSUA.

Ensure all materials adhere to LSUA brand standards and reflect a high level of professionalism appropriate for executive, internal, and public-facing audiences, while collaborating closely with the Chancellor's Chief of Staff, senior leadership, and the Strategic Communications team to anticipate needs, manage timelines, and ensure consistent messaging.

Additional Duties

Create visual content for on-campus television screens and other internal communication channels.

Draft press releases and internal announcements as assigned.

Create talking points, briefing documents, and messaging frameworks for executive leadership.

Film, edit, and produce "talking head" videos in the Strategic Communications studio.

Qualifications

Bachelor's degree required.

Excellent written and verbal communication skills.

Demonstrated proficiency in Canva; experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) strongly preferred.

Strong visual design skills with an eye for clarity, hierarchy, and executive-level presentation quality.

Strong organizational skills and ability to manage multiple deadlines in a fast-paced, high-visibility environment.

Attention to detail and ability to work with discretion on sensitive or time-sensitive materials.

Experience working with senior leadership, executive communications, or institutional communications preferred.

Hours: Eight (8) hours per day, Monday - Friday, 40 hours a week. Additional hours worked as warranted by current initiatives and projects.

Salary: Starting pay of $38,000-60,000, commensurate with education and experience. Eligible for merit and equity increases.
