Dental Insurance Coordinator Job Description

The Dental Insurance Coordinator is responsible for managing all aspects of dental insurance processing to ensure accurate billing, timely claim submission, and proper reimbursement for services. This role serves as a liaison between patients, insurance companies, and the dental team to verify coverage, explain benefits, and resolve claim issues.

Key Responsibilities:

Insurance Verification
  • Verify patient dental insurance eligibility and benefits prior to appointments
  • Review coverage limitations, frequencies, deductibles, and maximums and input this information into OpenDental
  • Communicate estimated patient portions to patients and front office staff
  • Claims Processing
  • Prepare and submit accurate dental insurance claims electronically and by mail
  • Attach necessary documentation including narratives, x-rays, and periodontal charts
  • Track claim status and ensure timely processing
Accounts Receivable Management
  • Follow up on outstanding insurance claims
  • Post insurance payments and adjustments accurately to patient accounts
  • Investigate denied or delayed claims and initiate appeals when necessary
Patient Communication
  • Explain insurance benefits, estimates, and remaining balances to patients when necessary 
  • Assist patients in understanding their coverage and financial responsibility
  • Answer insurance-related questions professionally and clearly
Coordination with Dental Team
  • Work with dentists and hygienists to obtain clinical documentation needed for claims
  • Communicate insurance limitations that may affect treatment planning
  • Help ensure treatment plans are properly coded and documented for insurance submission
Administrative Duties
  • Maintain accurate patient insurance records in the practice management software
  • Stay current with insurance guidelines, coding updates, and payer policies
  • Assist Office Manager with monthly insurance aging reports and financial reconciliation
Qualifications
  • Previous experience in a dental office preferred - On the job training is offered for the right candidate 
  • Knowledge of dental terminology, CDT codes, and insurance processes
  • Experience with dental practice management software (Dentrix, Eaglesoft, Open Dental, etc.)
  • Strong attention to detail and organizational skills
  • Excellent communication and customer service skills
