We are seeking a highly organized, proactive, and creative Intake Coordinator to serve as the first point of contact for our clients and families. This role is essential in ensuring a smooth onboarding experience while also supporting internal operations, staff credentialing, and company branding initiatives.


This is a full-time, Monday–Friday, 9:00 AM – 5:00 PM position with a comprehensive benefits package.


Key Responsibilities:


  • Serve as the primary point of contact for all new client inquiries, providing a welcoming and supportive experience
  • Guide families through the intake process, including onboarding and initial authorization periods
  • Coordinate and manage onboarding and credentialing for all staff, including Behavior Technicians (BTs), Registered Behavior Technicians (RBTs), Board Certified Behavior Analysts (BCBAs), and administrative team members
  • Track and manage client authorizations to ensure there are no lapses in coverage or services
  • Monitor assessment timelines and ensure BCBAs remain on track with required evaluations
  • Provide ongoing administrative and operational support to BCBAs and staff
  • Design company flyers, marketing materials, and internal graphics
  • Maintain and ensure consistency in company branding across all materials and platforms
  • Manage and coordinate company swag and branded materials
  • Maintain accurate and up-to-date records across systems
Qualifications:


  • Strong organizational skills with high attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities and meet deadlines
  • Creative skills with experience in graphic design or branding preferred
  • Experience in healthcare, ABA services, or a related field preferred
  • Familiarity with insurance authorization processes is a plus
