An Intake Specialist
is a committed individual possessing excellent customer service skills,
communication skills, highly detail -oriented, and persuasive ability with a
soft sales focus. This role is expected to deliver administrative support for
the organization, including compiling and processing claims to mail to the VA,
coordinating direct mailings, and working on special projects. This position
will interface professionally through written, telephonic, and in -person
mediums, with a diverse group of important external callers and visitors, will
work in a fast -paced environment, and successfully work independently or on a
team. In addition to administrative duties, this position is the first point of
contact for our clients and is responsible for gathering and compiling initial
information and documentation to begin the claims process. The Administrative
Intake Specialist must be able to implement and support change, exhibit
professionalism through demeanor and appearance, promote a positive team
attitude and effectively respond to unexpected changes or demands.<\/span>

Essential Functions:<\/span><\/b>
<\/p>
· Initiates the first
contact with assigned clients via phone and email.<\/span>
<\/p>
· Provides Company
overview of services offered.<\/span>
<\/p>
· Able to answer
questions effectively regarding services provided, set client expectations, and
ensure the value of our service is represented to our clients.<\/span>
<\/p>
· May be called on to
overcome client objections or reservations to engage VEV’s services.<\/span>
<\/p>
· Requests required
initial client documentation and information.<\/span>
<\/p>
· Compiles and
verifies received client documentation.<\/span>
<\/p>
· Updates and
accurately documents client profiles.<\/span>
<\/p>
· Validates client
compliance and readiness to move forward in workflow.<\/span>
<\/p>
· Performs monthly
verification projects as assigned by supervisor.<\/span>
<\/p>
· Assists Coaches by
requesting and compiling client documents as needed.<\/span>
<\/p>
· Meets production
expectations and quality guidelines in timeframes as established by supervisor.<\/span>
<\/p>
· Develops, maintains,
and retrieves information as needed from clients.<\/span>
<\/p>
· Organizes and
prioritizes a large volume of information and calls for assigned staff.<\/span>
<\/p>
· Answers incoming
calls, takes messages, fields all routine and non -routine questions.<\/span>
<\/p>
· Handles confidential
and non -routine information and explains policies when necessary.<\/span>
<\/p>
· May work
independently or with a team on special, non -recurring, and ongoing projects.<\/span>
<\/p>
· Supports maintenance
of the department finances with activities including facilitation of onsite
client payments, copying check requests, processing of accounts payable travel
reimbursement, packaging and submitting corporate credit card documentation
expenses to finance, etc.<\/span>

· Provides client services,
coordinating, answering phones, and handling client issues.<\/span>
<\/p>
· Completes any
additional duties accurately as assigned by the direct supervisor in the
requisite timeframe.<\/span>
