About This Role
The Integrated Care Advisor (ICA) serves as the primary case manager for our clients, ensuring a seamless, clinically appropriate, and financially informed treatment experience. This role is central to our mission—you'll coordinate care across departments, oversee the full client lifecycle from intake through discharge, and facilitate communication between clinical, medical, financial, and external stakeholders. As an ICA, you'll guide clients and families through treatment planning, level-of-care transitions, financial considerations, and aftercare coordination while maintaining high standards of documentation, advocacy, and ethical care.
Key Responsibilities
Intake & Onboarding
- Facilitate and oversee the full intake process for new clients
- Conduct client introductions and orientation to programs
- Review client handbook and ensure documentation completion within 24 hours
- Enter all relevant assessments and notes into Kipu EMR accurately and timely
Case Management & Care Coordination
- Maintain consistent daily interaction with clients to monitor progress and wellbeing
- Review biopsychosocial assessments, C-SSRS, and clinical documentation
- Develop initial aftercare action plans within the first week
- Support a safe, structured, and therapeutic milieu
- Assess and address psychosocial, medical, motivational, and legal needs
- Serve as a client advocate in treatment and aftercare decision-making
Financial Coordination & Client Transparency
- Facilitate financial conversations with clients and families, including cost of care, insurance coverage, and financial responsibility
- Collaborate with admissions, billing, and utilization review teams to ensure alignment between clinical recommendations and financial realities
- Educate clients on the financial implications of treatment extensions, step-downs, and continued care
- Identify financial barriers to care and escalate concerns appropriately
Utilization & Continuum of Care Management
- Assess and recommend appropriate levels of care throughout treatment
- Participate in utilization review processes, supporting medical necessity determinations
- Coordinate and communicate treatment extensions based on clinical progress and payer guidelines
- Facilitate step-down transitions (Residential PHP IOP OP)
- Ensure continuity of care across all transitions
- Align care decisions with clinical best practices and insurance requirements
Cross-Department Collaboration
- Build strong relationships with clinical, medical, hospitality, telehealth, and support teams
- Partner with Utilization Review, Admissions, and Finance teams
- Coordinate with external stakeholders including families, referents, and providers
- Communicate updates regarding extensions, denials, and level-of-care changes
Legal & External Coordination
- Coordinate with attorneys, probation officers, and legal entities
- Ensure compliance with legal obligations during treatment
Discharge & Aftercare Planning
- Develop and implement comprehensive discharge plans
- Ensure appropriate step-down level of care placement
- Coordinate aftercare services and verify continuity of care
- Educate clients and families on post-discharge expectations and financial considerations
Documentation & Administrative Duties
- Maintain accurate, timely documentation in EMR systems
- Attend all required meetings (staff, aftercare, extended care)
- Produce reports and maintain compliance with organizational standards
Required Qualifications
- Bachelor's or Master's degree in a behavioral health, psychology, or clinical field
- Minimum 2+ years of behavioral health and client care experience
- Strong interpersonal communication and conflict resolution skills
- Knowledge of behavioral health levels of care (RTC, PHP, IOP, OP)
- Understanding of utilization review, medical necessity, and insurance processes
- Ability to facilitate financial conversations with clients and families
- Strong organizational and documentation skills
- Proficiency in Microsoft Office and web-based systems
- High moral and ethical values
- Maturity of judgment and behavior
- Ability to pass background check, urine drug screen, and criminal records tests
- Valid driver's license and appropriate references
Preferred Qualifications
- Master's degree or current graduate student status in a clinical field
- Experience with Kipu EMR system
- Experience with utilization review and insurance authorization processes
- Knowledge of NADAAC ethical practice standards
- Experience facilitating level-of-care transitions
