Intern, Marketing Knowledge HUB

SCOPE OF WORK:

Coordinates day-to-day execution of the "Studio 151" Knowledge Hub (K-Hub) through its soft launch and into ongoing operation, working directly under Gael Mire-Medrano. Serves as the operational point person across launch prep, media/content enrichment, and the recurring quarterly K-hub maintenance cycle - coordinating inputs from content stewards, the creative team, and Gael, without holding final approval authority.

RESPONSIBILITIES:

Prep for the launch of the Knowledge Hub at CARE.

Facilitate the expansion of the knowledge hub to include multi-media.

Execute quarterly knowledge hub maintenance activities ensuring information is current.

Phase 1 - Launch Coordination (through the Sept 30 soft launch)

• Coordinate the content audit across SharePoint document libraries; flag outdated or duplicate content
• Convert folder-view links to direct document/single-page links
• Apply the simplified site structure (max 3 top-level folders, 2 levels deep, thumbnail navigation)
• Apply metadata tags to the launch content set
• Coordinate roadshow logistics (materials, scheduling, follow-up tracking) across participating departments

Phase 2 - Media & Content Coordination (through Dec 31)

• Coordinate with Marketing's creative team to source and upload approved graphics/video
• Tag and organize media assets per the metadata standard
• Confirm consent/rights documentation is attached where required

Phase 3 - Ongoing Quarterly Maintenance Coordination (recurring)

• Coordinate and run quarterly reviews of each content category for currency and accuracy
• Process incoming submissions via the "Submit a Resource" form; check for completeness before routing to KM focal points
• Flag content approaching the 12-18 month stale-review window and 24-month archive window
• Maintain the 7-field metadata standard on all new/updated content (Content Type, Description, Date Uploaded/Updated, Department, Owner/POC, Last Audited Date, Keywords)
• Support the semiannual search analytics audit - pull data, flag underused tags or misfiled content
• Serve as the point of contact coordinating departmental Content Stewards/KM Champions on their update cycles
