International Student and Scholar Services Representative (International Services Rep)About the Office of the Vice President for International Affairs (IU Global)The Vice President for International Affairs and the teams of staff in OVPIA's offices are the stewards of international activity across all campuses of Indiana University. We provide strategic leadership and advocacy for all international programs and projects and coordinate the resources necessary to sustain their growth. Our goal is to enable as many students, faculty, and staff as possible to pursue international and intercultural knowledge and experiences and to become engaged global citizens.Within IU Global, the Office of International Services (OIS) is dedicated to helping international students and scholars achieve their goals. Our staff recruit, admit, and enroll international students from all over the world. We provide social and cultural programming and visa- and immigration-related advising among other assistance to all international students and scholars. Join our nationally recognized team and help us serve the amazing and broad-ranging international population at IU.ResponsibilitiesCollects and, after assignment by senior Student Team staff, distributes daily e-forms to student advisors.Creates, edits, and maintains, the internal documentation for daily tasks and templated messaging.At the direction of the Assistant Director, serves as a resource for international students and scholars who visit the office in person.May take on additional tasks or projects to contribute to the overall success of the team.General ResponsibilitiesServes as primary point of contact in-person and by phone and email for international students and scholars, academic departments, and other clients with requests for services and information related to immigration regulations and OIS procedures; serves as primary point of contact by phone and email for international student applicants and academic departments accepting international applications.Researches and responds to a broad range of inquiries from incoming and current students, such as the immigration policies, documents, and regulations related to employment and work authorization, SSN applications, travel, expiring immigration documents, etc. Works with appropriate staff to ensure that client needs are met in the most efficient way possible.Collects and administers initial review of immigration-related documents and forms. Makes judgment calls on the proper level of service, is sensitive to deadlines and the timing issues related to immigration regulations, and schedules appointments as appropriate. Maintains working knowledge of immigration regulations and procedures.Monitors and processes a variety of e-forms and other requests from international students. Troubleshoots issues clients encounter and explains how to navigate the systems, use checklists, and submit e-forms.Serves as Notary Public and provides notarization services as requested. Processes international shipments to deliver international admissions packets and other important or sensitive documentation related to an individual's immigration status.Assists in training of new staff on university's international admissions standards, policies and procedures, and basic immigration regulations.Provides general administrative support to the office and other special projects and duties as assigned.QualificationsCombinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience.
