Job Description
  • Serve as a central point of coordination across multiple teams and departments
  • Proactively chase down open items, action items, and unanswered questions
  • Prepare clear status updates, trackers, and summaries for project leaders
  • Ensure details are documented, organized, and easy for others to consume
  • Coordinate the identification, cataloging, and organization of spare parts across labs and storage areas
  • Work with engineers, technicians, and supply chain partners to confirm part ownership, physical storage locations, documentation, and traceability
  • Maintain accurate inventory records, including spreadsheets, databases, or internal systems, that are clean, searchable, and auditable
  • Help establish consistent processes for labeling, storage, and ownership assignment
  • Support lab cleanup efforts by tracking items that are obsolete, unused, or unowned
  • Coordinate with stakeholders to determine disposition, including retain, relocate, or dispose
  • Track cleanup actions to completion and ensure labs are clearly organized and documented
About You
  • Strong administrative and project coordination skills
  • Highly organized and detail-oriented, with a process-minded approach
  • Comfortable managing trackers, lists, and documentation with accuracy and consistency
  • Strong written and verbal communication skills
  • Ability to work independently and proactively without close supervision
  • Comfortable engaging with cross-functional teams and following up persistently but professionally
  • Willingness to work fully onsite in a lab or operations environment
Experience Required
  • Experience supporting inventory, operations, facilities, engineering, or lab environments
  • Familiarity with spare parts, equipment, or asset tracking through formal or informal systems
  • Experience in contract or project-based administrative roles
