    Summary:

    • The Inventory Coordinator at Pennsylvania Hospital reports directly to the Director of Pharmacy and is responsible for all direct and wholesale pharmacy purchasing duties, including inventories, order placement and receiving, storing, and maintenance of accurate purchasing records.  This position also is expected to effectively utilize computers for word processing, generation of special reports, data base management, and wholesale purchasing.

    Responsibilities:

    QUALITY: Responsible for determining the best source of supply of ordered items based on availability, price, and quality following Pharmacy policies and procedures and reconciles the delivery, receipt, and storage of goods purchased. Inspects and maintains adequate inventory levels of medications and supplies.
    Assesses inventory and purchasing workloads to anticipate possible issues. Requests resources and offers solutions to minimize problems. 
    Maintains a clean, orderly, and safe environment to facilitate accurate and safe location and retrieval of medications by pharmacy staff.
    • COMPLIANCE: Assures appropriate distribution of all medications procured for other departments according to state and federal regulations and inspects and maintains adequate inventory levels of medications and supplies maintaining spreadsheets and records of purchasing trends (ex: vendor log, hemostat log).
    Participates in product recalls and performance issues and maintains necessary documentation.
    Supervises the timely processing and storage of all returns of outdated and unusable items to their respective vendors, and the maintenance of all transactions to ensure proper crediting.
    Adheres to all policies, procedures, laws and regulations that govern the procurement, receipt, handling, and storage of controlled substances
    • COMMUNICATION: Effectively communicates in a clear and timely manner any inventory issues that impact patient care.
    Provides regular status updates.
    Provides alternatives and recommendations to Pharmacy managers, when applicable.
    Effectively utilizes information system resources for communication, reporting, data base management, and purchasing responsibilities.
    Maintains and updates computer order processing systems with drug wholesalers.
    Identifies and communicates usage trends when necessary.
    Reports any irresolvable discrepancies to the Director of Pharmacy or any of the Associate Director of Pharmacy immediately
    • PURCHASING: Forwards invoices for review and approval to Director of Pharmacy in timely manner.
    Adheres to purchasing authority guidelines, as determined by the Director of Pharmacy.
    Meets as needed with vendors to maintain awareness of new products and purchasing opportunities.
    Updates Director of Pharmacy as necessary.
    Adheres to hospital’s vendor access policies and procedures.
    Responsible to assure that all requests for purchase of non-approved or non-formulary medications have been properly approved by Pharmacy managers.
    Maintains cost data relevant to unanticipated drug expenditures to aid in the justification of budget variances.
    Adheres to purchasing contracts and preferred vendor product options.
    Accurately performs data entry of stock and non-stock purchases utilizing web-based sites and other software and maintains necessary documentation of all purchasing, receipt, inventory, returns, and credits related to such purchases. • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures • Other duties as assigned to support the unit, department, entity, and health system organization  

      Credentials:

      Pharmacy Technician Certification Board (PTCB) certification preferred

      Education or Equivalent Experience:

      • H.S. Diploma/GED (Required)
      • 1+ years experience with inventory control and purchasing, preferably in a hospital or institutional setting required.
      • Associate of Arts or Science preferred.
