Investor Relations Transfer Agency Operations Analyst/Senior Analyst
Position Details
  • Pay Range: $42.85 $60.71/hour on W-2, based on experience and level
  • Contract Duration: 12 months
  • Conversion Potential: Strong potential to convert to full-time employment at Grade 602
  • Team Structure: Approximately 25 team members are based in the United States, while the managers are based in Luxembourg.
Work Location and Schedule
  • Primary Location: MetroTech, Brooklyn, NY five days per week onsite
  • Alternative Location: Jersey City, NJ currently hybrid, with an anticipated return to five days per week onsite
  • Equipment Requirement: A two-screen setup is required for hybrid work. Tablets and notebooks are not acceptable substitutes.

Position Overview
Client is seeking an Investor Relations Transfer Agency Operations professional at the Analyst or Senior Analyst level. The selected candidate's level and compensation will be determined by their experience, derivatives knowledge, client-service capabilities, and ability to independently manage a portfolio of clients.
The team acts as the transfer agent for alternative investment funds and supports the full investor lifecycle. Its responsibilities include booking investor-side trades, processing subscriptions and redemptions, producing investor and fund-level reporting, managing investor inquiries, and reviewing KYC/AML documentation.
Candidates at the Analyst level will focus primarily on transaction processing, reporting, quality reviews, and investor query management. Senior-level candidates will also serve as the primary contact for an assigned client portfolio, manage relationships independently, oversee final approvals, and take responsibility for end-to-end service delivery.

Job Responsibilities
  • Process and review fund- and investor-level activity, including subscriptions, redemptions, NAV entries, series consolidations, capital activity, and contact or wire instruction updates.
  • Book trades and other transactions on the investor side.
  • Ensure the accurate and timely completion of all assigned transactions.
  • Monitor dedicated investor mailboxes and respond to requests for statements, transaction details, and other account information.
  • Produce and review client- and investor-level reports, including monthly and quarterly statements, contract notes, order acknowledgements, and regulatory reports.
  • Complete ad hoc reporting and operational requests, including board reports, system extracts, K-1 distributions, and audit requests.
  • Perform completeness and quality-assurance reviews of investor and fund activities or changes.
  • Manage transaction signoff and resolve outstanding documentation, including KYC/AML requirements.
  • Maintain complete and accurate records and ensure all work remains "Always Audit Ready.
  • Collaborate with Accounting, Technology, Client Service, and Product teams to implement operational changes.
  • Work closely with colleagues in the United States and managers in Luxembourg.
  • Follow Bank's established processes and procedures.
  • Identify opportunities to improve accuracy, reduce redundancy, enhance service, and mitigate operational risk.

Additional Senior-Level Responsibilities
  • Assume end-to-end ownership of an assigned portfolio of clients.
  • Serve as the primary contact for client relationships and manage all related phone and email communication.
  • Build trusted relationships with institutional clients and anticipate their operational and servicing needs.
  • Independently resolve complex client, fund, and investor inquiries.
  • Manage client expectations and provide timely updates through final resolution.
  • Review the work of other team members and provide guidance on complex transactions when required.
  • Provide final approval for investor transactions and related reporting.
  • Identify and escalate operational, service, or regulatory risks while retaining ownership through resolution.
  • Help guide less-experienced team members and promote consistent service standards.

Required Qualifications
  • Three or more years of relevant financial-services experience, preferably in investment-banking operations, transfer agency, fund administration, hedge funds, private equity funds, or other alternative investments.
  • At least one year of derivatives-related knowledge or experience.
  • Experience with fund- or investor-level transaction processing.
  • Knowledge of subscriptions, redemptions, capital activity, reporting, or investor servicing.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple transactions, deadlines, documentation requests, and inquiries simultaneously.
  • Strong written and verbal communication skills.
  • Professional, proactive, collaborative, and accountable working style.
  • Ability to remain composed and effective in a fast-paced environment.
  • Commitment to accurate processing, high-quality service, and operational risk management.

Senior-Level Qualifications
Candidates considered for the senior level should also possess:
  • Five or more years of relevant financial-services experience.
  • At least two years of derivatives-related knowledge or experience.
  • Demonstrated experience independently managing an institutional client portfolio.
  • Strong client-facing communication and relationship-management skills.
  • Experience serving as the primary contact for clients and resolving complex inquiries.
  • Ability to take ownership, make sound decisions, and operate with limited supervision.
  • Experience performing quality reviews, approving transactions, or guiding less-experienced team members.

Education
  • A bachelor's degree in finance, economics, accounting, or a related discipline is preferred.
  • Candidates without a degree may be considered if they possess substantial, directly relevant experience.
  • A master's degree in a relevant discipline is a plus.

Preferred Qualifications
  • Transfer agency experience or strong transfer agency knowledge.
  • Experience supporting alternative investments, including hedge funds or private equity funds.
  • Knowledge of credit default swaps, credit spread products, or other derivatives.
  • Experience with investor reporting and query management.
  • Familiarity with KYC/AML documentation and transaction approval processes.
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel functions such as VLOOKUP.
  • Ability to anticipate investor or client needs and deliver timely, accurate solutions.
  • Strong personality fit, including adaptability, teamwork, accountability, and a willingness to learn.
