Invoice Specialist
Quick Servant Co Inc is seeking a detail-oriented Invoice Specialist to support billing operations for our HVAC/R and commercial cooking equipment service division. This role is responsible for accurately preparing and processing invoices related to service calls, repairs, preventative maintenance, and installations while ensuring compliance with company pricing and customer requirements.
The Invoice Specialist plays a critical role in supporting our technicians, service managers, and accounting team to ensure timely, accurate billing and positive customer experiences. The ideal candidate thrives in a fast-paced service environment and has prior experience with trade or service-based invoicing.
Key Responsibilities
- Ensuring that client information details are kept up-to-date.
- Creating and sending invoices and statements to customers.
- Checking the data input to ensure the accuracy of the final bill.
- Tracking payments and ensuring that the cash flow into the company is buoyant.
- Reporting issues or irregularities to the financial head of the company.
- Fixing billing errors by issuing debit and credit memos.
- Liaising with the logistics department and ensuring that goods are dispatched on time.
- Recovering outstanding debts.
- Handling clients' account queries.
- Initiating new procedures for billing.
Qualifications & Skills
- Strong attention to detail and organization
- Experience with invoicing or billing (HVAC/R preferred)
- Comfortable using computer systems, spreadsheets, and email
- Excellent communication and customer service skills
- Ability to multitask in a fast-paced service environment
- Reliable, punctual, and team-oriented
