Position: IT Asset Management (ITAM) Coordinator

Location: NY – 10036 (Onsite)

Rate: $25/hr on W2

Role Summary

The IT Asset Management (ITAM) Coordinator supports the operational execution of enterprise IT asset lifecycle management across hardware, peripherals, and related services. This role ensures asset data accuracy, process adherence, and vendor coordination within a ServiceNow ITAM and CMDB environment.

The ITAM Coordinator plays a critical role in day-to-day asset processing, vendor workflow execution, and metric monitoring, enabling strong governance, financial accuracy, and audit readiness across the organization.

Core Responsibilities – IT Asset Lifecycle Execution

- Execute daily IT asset lifecycle activities including intake, deployment, transfer, refresh, and retirement
- Maintain accurate asset records in ServiceNow ITAM / CMDB (asset tag, serial, assignment, lifecycle state, location)
- Support asset reconciliation between physical inventory, ServiceNow, and vendor data

ServiceNow Operations & Data Quality

- Perform asset updates, validations, and corrections in ServiceNow ITAM, HAM, and CMDB
- Support ServiceNow workflows for onboarding, device requests, refresh, break/fix, and offboarding
- Monitor data quality and escalate discrepancies to ITAM leadership

Vendor Process Flow & Coordination

- Coordinate with hardware vendors, logistics partners, and repair/refresh providers
- Track shipments, receipts, repairs, replacements, and disposals
- Ensure vendor actions align with approved ITAM process flows
- Maintain documentation, proof of delivery, and chain-of-custody records

Metrics, Reporting & Monitoring

- Monitor ITAM operational metrics (asset accuracy, fulfillment timelines, recovery rates, vendor SLAs)
- Support ServiceNow dashboard maintenance and reporting
- Identify trends, gaps, and process issues for escalation

Financial & Compliance Support

- Support invoice validation and asset receipt confirmation
- Assist with warranty and contract tracking
- Provide documentation for audits and compliance reviews
- Ensure adherence to ITAM policies and data governance standards

Continuous Improvement & Process Adherence

- Follow ITAM standard operating procedures (SOPs)
- Identify opportunities to improve data quality and vendor coordination
- Participate in process improvement and documentation updates

Required Qualifications

- Associate or Bachelor's degree in IT, Business, or equivalent experience
- 2–4 years of experience in IT operations, asset management, or service desk support
- Experience working in ServiceNow or similar ITSM/ITAM platforms
- Strong attention to detail and data accuracy
- Experience coordinating with vendors or third-party providers

Preferred Qualifications

- Experience with ServiceNow ITAM, HAM, or CMDB modules
- Familiarity with IT asset lifecycle best practices
- Experience supporting audits or inventory reconciliation
- Basic understanding of procurement or logistics processes
- ITIL Foundation or ServiceNow fundamentals training

- Timely execution of lifecycle events
- Reduction in asset discrepancies and rework
- Vendor SLA compliance
- Positive stakeholder feedback
