Summary Description:
The primary responsibility of this role is to assist IT financial management process of PO and invoice processing with SAP, serve as an asset manager and administer the IT Capital Approval process. In addition, this role will provide logistical administration for the IT organization.
Qualifications
Key Accountabilities:
Organize and administer IT contracts for Billerud North America (BNA)
Solicits renewal quotes from vendors or VARs
Works with IT contract owners/technical management team to confirm entitlement and level of service needed for upcoming renewal cycle
Negotiates pricing/service levels with vendors on behalf of technical management team
Ensures new contracts/orders are signed according to DOA matrix
Creates purchase orders for renewals
Manages invoices for renewals (monthly/quarterly/annually)
Manages IT pipeline of new IT contracts for BNA
Works with technical management team for NDAs, SOWs, and service/maintenance contracts needed for new projects
Co-terming of existing contracts with new purchases/entitlements/subscriptions
Preservation of official documents
Historical data used for new contract negotiations, price management, and audits
Annual/monthly budgeting Forecasting
Accruals
Amortization
AOP process for upcoming calendar year
Compliance - provide data for quarterly contract reviews
Audits - provide leadership and project management for any audits solicited by vendor (note that we do not participate in 3rd party audits per our policy - e.g. a third party asks us to evaluate our relationship with another vendor)
Collaborates with Finance and Legal regarding overlapping requirements
Tax info to/from vendors
Vendor payment terms and remit info
Assist with business/IT requirements on contract legal reviews
As-needed work during specific business events
Assist Billerud Europe with IT contract renewals
Contract assignments during mergers/acquisitions/divestitures
Co-terming or merging separate business entities
Other assignments as needed
