PURPOSE OF CLASSIFICATION

The purpose of this classification is to effectively deal with the day-to-day IT and related administrative operational issues, providing general support to users and documenting issues to the Help Desk system. This position assists in key administrative-related processes of payroll accounting support, payment processing systems support and scheduling. The successful candidate will efficiently organize and coordinate for the Houston IT team to deliver its objectives He/she will work closely with and be supported by other members of the IT team

ESSENTIAL FUNCTIONS

The following duties are normal for this position.  The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.  Other duties may be required and assigned.

  • Promptly handle assigned issues and tasks through internal systems.
  • To ensure excellent customer service and teamwork practices at all times.
  • Perform basic office support functions when not supporting the IT team
  • Carry out ad-hoc daily and weekly tasks as assigned by the IT Director
  • Act as the local IT Systems Officer, providing support and first-line response to general IT inquiries from users;
  • effectively escalating IT related issues to the Helpdesk.
  • undertaking regular preventive IT maintenance of official equipment;
  • undertaking regular and ad hoc approved upgrades to the system;
  • ensuring all IT office procedures are complied with;
  • Updating and detailing of procurements in ERP software.
  • management of all local software licenses and credentials
  • proactive dissemination of relevant IT related information to users;
  • Good understanding of the core Houston County Department functions and be in a position to advise on the best use of IT to users;
  • Management of IT office suppliers (including stock levels and purchasing)
  • Providing other ad-hoc administrative tasks when required.
  • The IT Support Officer’s position and balance of responsibilities is likely to change, particularly during the first six months.

KNOWLEDGE, SKILLS, AND ABILITIES

Has general knowledge of the policies, procedures, and activities of the Management Information Services Department as they pertain to the performance of duties relating to the position of IT Office Associate.  Has comprehensive knowledge of the terminology used within the department. Has the ability to communicate effectively with supervisors and other staff members. Has the ability to use independent judgment in routine and non-routine situations. Has the mathematical ability to handle required calculations. Can utilize and understand software applications and techniques as necessary in the completion of daily assignments.  Has the ability to plan, organize and/or prioritize daily assignments and work activities.  Can comprehend and apply regulations and procedures of the department. Has a good working knowledge of Word, Excel, Office 365, inventory reports and methods as required in the performance of duties.  Is knowledgeable in the use of various software programs and operating systems utilized within the unified government.

MINIMUM QUALIFICATIONS

1+ Years of experience in an Office Associate or related field.

MINIMUM REQUIREMENTS TO PERFORM ESSENTIAL JOB FUNCTIONS

PHYSICAL REQUIREMENTS:   Must be able to operate a variety of automated office/computer equipment including a personal computer, mainframe computer, printer, tape/disk drives, vacuum cleaner, burster, decollater, calculator, and telephone.  Physical demand requirements are at levels of those for medium work.

DATA COMPREHENSION:  Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things which may include forms, reports, operational manuals, and reference manuals.

INTERPERSONAL COMMUNICATION:  Requires the ability to speak with and/or signal people to convey or exchange financial, personnel/payroll, and computer-related information, including giving assignments and/or directions to co-workers or assistants as well as communicating with the general public.

LANGUAGE ABILITY:  Requires ability to read a variety of financial, personnel/payroll, and computer-related documentation, directions, instructions, and methods and procedures.  Requires the ability to complete forms and to write job related documentation and reports with proper format, punctuation, spelling and grammar, using all parts of speech.  Requires the ability to speak with and before others with poise, voice control, and confidence using correct English and well-modulated voice.

INTELLIGENCE:  Requires the ability to learn and understand technical principles and techniques; to understand departmental policies and procedures; to make independent judgments.

FORM/SPATIAL APTITUDE:  Requires the ability to visually inspect items for proper length, width, and shape using job related equipment.

MOTOR COORDINATION:  Requires the ability to coordinate hands and eyes in using automated office/computer equipment.

MANUAL DEXTERITY:  Requires the ability to handle a variety of items, automated office/computer equipment, control knobs, switches, etc.  Must have the ability to use one hand for twisting motion or turning motion while coordinating other hand with different activities.  Must have minimal levels of eye/hand/foot coordination.

COLOR DIFFERENTIATION:  May require the ability to discern color.

INTERPERSONAL TEMPERAMENT:  Requires the ability to deal with and relate to people beyond giving and receiving instructions.  Must be able to adapt to and perform under minimal stress when confronted with an emergency.

PHYSICAL COMMUNICATION:  May require the ability to talk, express, or exchange ideas by means of spoken words and/or hear and perceive nature of sounds by ear.
