The University of Lynchburg is seeking a dedicated, highly organized, and proactive Project Administrator to serve as the single point of accountability for the end-to-end lifecycle management of the eLevate Program. The eLevate program is a large-scale institutional initiative encompassing a fleet of student leased laptops deployed across campus.
This role bridges the gaps between multiple university departments, such as IT, Student Accounts, and the Registrar, to ensure physical assets are tracked, financial obligations are reconciled, and user relationship dynamics are seamlessly managed. The Project Administrator will act as a buffer for technical staff, handle student and parent communications regarding program policies, and actively manage asset recovery to mitigate capital lease liability.
This position reports to, is supervised by, and evaluated by the Chief Information Officer. The evaluation of work performance will be ongoing, and will include the specific duties and responsibilities of this position description plus employee attitude and general working behavior.

Job Purpose: Administration of the student laptop program
Specific Job Duties:
Under supervision of the Chief Information Officer, the Project Administrator will oversee six core operational categories, with workload intensity shifting dynamically throughout the academic year:
Equipment Intake
- Physically inspect and scan new incoming laptops.
- Verify proper inventory via Apple School Manager and Jamf server environment.
Distribution & Onboarding
- Coordinate the logistics of identity verification and high-volume deployment during the compressed week between student check-in and the start of the semester.
- Collect mandatory signatures on user agreements and troubleshoot immediate onboarding process failures.
Fleet Lifecycle & AppleCare+ Management
- Oversee steady-state administration of an active multi-year campus fleet.
- Process broken hardware returns, deploy loaner devices, and track external AppleCare repairs.
- Proactively audit device network telemetry to prevent asset loss.
Early-Exit & Buyout Recovery
- Account for and manage student departures relative to the program's retention metrics
- Coordinate closely with the Registrar to cross-reference student withdrawals.
- Track unreturned hardware, deploy Mobile Device Management (MDM) remote locks when necessary, and calculate custom equity buyouts to apply to individual student bills.
Financial & Policy Auditing
- Cross-reference Student Accounts ledgers and reconcile rolling technology fee revenues against the university's fixed semi-annual lease costs.
- Compile and maintain compliance documentation for Title IV federal financial aid audits.
Communication & Stakeholder Management
- Serve as the dedicated liaison to handle delicate exit conversations regarding device returns or financial charges applied to student ledgers.
- Act as the primary administrative point of contact to field inquiries and complaints from parents and students regarding mandatory program fees or student account holds, preserving technical IT Help Desk workflows for hardware and software troubleshooting.

Schedule:
- 8:30 am - 5:00 pm (7.5 hours/day with some evenings and weekends to meet needs of the department may be required

Experience/Skills:
- Cross-Departmental Collaboration: Proven ability to interface effectively with diverse institutional departments such as IT, Student Financial Services/Accounts, and the Registrar's Office.
- Technical Familiarity: Comfort utilizing or learning device management platforms (e.g., Jamf, Apple School Manager) and Mobile Device Management (MDM) protocols to implement remote locks and monitor asset telemetry.
- Financial and Analytical Acumen: Experience with ledger reconciliation, basic accounting, auditing compliance documentation (ideally Title IV federal regulations), and calculating custom equity figures.
- Conflict Resolution & Communication: Exceptional communication and interpersonal skills. The candidate must be comfortable navigating difficult financial conversations and de-escalating customer service inquiries from parents and students.
- Project Management: High level of self-direction, organizational skill, and asset-tracking
Preferred qualifications:
- Experience working within an enterprise Apple/Mac deployment environment is a strong plus.
- Comfortable speaking to groups
Education:
- 4 year degree in a technology related field
- MBA is a plus
