Description

The City of Glendales Innovation & Technology department focuses on the del ivery and operations of vital IT infrastructure, computer support, IT governance, project management, as well as support and maintenance of enterprise applications, data analytics, GIS services, and cybersecurity.

The IT Project Coordinator provides project coordination and project management support for information technology initiatives for the City.

Job duties include assisting IT Project Managers with planning, tracking, documentation, and communication activities and independently manages small, low complexity IT projects under the direction of the IT PMO Manager. Supports the IT PMO project intake and prioritization process to ensure projects are properly documented, evaluated, and scheduled.

This position is:

  • FLSA Exempt, and will be paid a salary regardless of hours hours worked per week.
  • A Grade 411 with an annual salary between $80,544.00 - $120,816.00.

The City of Glendale also offers Regular status positions the following:

  • 10.5 paid holidays per year, and full-time employees are also granted an additional 12 hours of holiday special leave per calendar year to celebrate their cultural or religious holidays

  • Vacation leave accrues at:

  • 5.33 hours per pay period (138 hours/17.25* days per year)

  • Increases to 6.12 hours per pay period after 5 years

  • Then caps out at 7.6 hours per pay period after 10 years of service

  • Sick leave accrues at 4.4 hours per pay period (114 hours/14.25 days* per year)

  • Days per year estimates are based on an 8-hour work day.

This position participates in the Arizona State Retirement System (ASRS).

  • Contribution is mandatory, and deducted every pay period
  • The current contribution rate is 11.98%

Essential Functions

  • Assists IT Project Managers in the planning, coordination, and execution of information technology projects of varying scope and complexity.
  • Independently plans, organizes, and manages small, low complexity IT projects in support of departmental and organizational needs, ensuring projects are delivered on-time and within scope.
  • Supports the IT PMO project intake process by assisting with the intake submissions, ensuring requests are complete, tracking intake status, and facilitating communication between requestors, IT staff, and leadership.
  • Assists in preparing intake documentation, project charters, and high-level project information for review and prioritization.
  • Coordinates project activities, schedules, meetings, and resources; tracks project tasks, milestones, risks, issues, and dependencies.
  • Maintains project plans, schedules, status reports, risk logs, and other project artifacts in accordance with PMO standards and methodologies.
  • Prepares and distributes periodic project status updates to project managers, stakeholders, and leadership as required.
  • Assists with vendor coordination, including scheduling, communication, deliverable tracking, and contract compliance support.
  • Ensures assigned projects and tasks follow established project management processes, standards, templates, and best practices.
  • Identifies potential project risks and issues and escalates concerns to the appropriate IT Project Manager or the IT PMO Manager.
  • Maintains a working knowledge of current information technology systems, tools, and project management practices.
  • Performs other related duties as assigned.

Minimum Qualifications/Special Requirements/Success Factors

Minimum Qualifications:

Bachelor's Degree in Computer Science, Information Systems, Project Management, Business Administration, or a related field and one year of experience supporting or coordinating information technology projects.

Industry standard project management certification (such as CAPM or equivalent) is desirable.

Any equivalent combination of education, training and experience that provides the required knowledge, skills and abilities is qualifying. One year of relevant experience may be substituted for each year of required education.

Knowledge of:

  • Project management principles, concepts, and practices
  • Project intake, prioritization, and portfolio management processes
  • Basic system development lifecycle methodologies
  • Project coordination tools and techniques, including scheduling, documentation, and status reporting
  • Current industry trends and best practices related to information technology
  • Principles and practices of public administration, including basic budgeting and purchasing processes

Ability to:

  • Coordinate multiple project tasks and priorities in a structured and organized manner
  • Support and administer a formal project intake and tracking process
  • Assist in developing and maintaining project schedules and documentation
  • Communicate effectively orally and in writing with technical and non-technical stakeholders
  • Analyze information, identify issues, and recommend practical solutions
  • Work independently on assigned projects while collaborating effectively with project managers and PMO leadership
  • Establish and maintain effective working relationships with City employees, management, vendors, and other stakeholders
  • Exercise sound judgment and attention to detail

Special Requirements:

  • Must obtain an Arizona Criminal Justice Information System (ACJIS) Terminal Operator Certification - Level D (TOC-D) within one (1) month of hire.
