Job Title: IT Project Controls CoordinatorJob Description

The IT Project Controls Coordinator manages planning, financial, resource, and schedule controls for multiple IT projects delivered under a primarily waterfall SDLC within a regulated, documentation-driven environment. This role ensures that projects adhere to approved scope, schedule, budget, and compliance requirements, while maintaining audit-ready documentation and supporting disciplined governance. The position partners closely with IT Project Managers, functional leads, Finance, Quality/Compliance, and external vendors to maintain integrated project plans, track dependencies, control costs, support accruals, and perform scenario-based impact analysis for project changes. It is ideal for a detail-oriented professional with strong analytical skills, financial discipline, and experience in complex, regulated IT delivery programs, including ICT systems implementation across laboratory, ERP, cloud, infrastructure, EAMS, integrations, and master data workstreams.

Responsibilities

  • Develop, maintain, and update detailed, compliance-ready project plans, including work breakdown structures, milestones, dependencies, and critical path activities across multiple IT projects.
  • Track interdependencies across IT systems, validation activities, vendors, and business functions to ensure coordinated and timely delivery.
  • Baseline project schedules and monitor planned versus actual performance, highlighting variances, risks, and schedule impacts across the portfolio.
  • Support gated delivery and formal phase reviews such as initiation, design, build, test, and deployment, ensuring adherence to project governance standards.
  • Coordinate resource planning and allocation across multiple IT projects, including internal teams and external partners.
  • Maintain resource-level tracking aligned to approved project plans and timelines, ensuring accurate visibility into capacity and utilization.
  • Identify resource constraints, capacity risks, and timing conflicts, and support resource leveling and prioritization scenarios.
  • Provide data-driven inputs to support delivery tradeoffs while maintaining compliance and quality commitments.
  • Track budget versus actuals for labor, vendors, software, hardware, and services across the program.
  • Perform variance analysis to identify root causes and potential impacts on forecasts and delivery commitments.
  • Coordinate and validate monthly accruals in partnership with Finance and Procurement to ensure accurate cost recognition.
  • Maintain rolling forecasts, estimates to complete, and supporting financial documentation in line with audit requirements.
  • Support formal change control processes required in a regulated environment, ensuring proper documentation and approvals.
  • Document and analyze the impact of proposed changes on scope, schedule, budget, and resources, including deliverables, requirements, validation artifacts, milestones, dependencies, critical path, incremental costs, forecast adjustments, accrual impacts, capacity, roles, and timing.
  • Prepare scenario-based options and structured tradeoff analysis to support governance and leadership decision-making.
  • Maintain audit-ready project artifacts, including schedules, financial trackers, RAID logs, and change records, to support internal and external reviews.
  • Drive on-time, on-budget delivery through disciplined tracking and proactive escalation of risks and issues.
  • Prepare clear, executive-ready status reports and portfolio views that meet PMO and compliance expectations.
  • Ensure all project documentation aligns with internal controls, quality standards, and regulatory expectations.
  • Coordinate cross-functional meetings, including agendas, minutes, and action item tracking across IT, business, quality, and vendor stakeholders.
  • Track vendor deliverables, contract milestones, purchase orders, and invoice status to support accurate financial and delivery reporting.
  • Ensure timely communication of approved changes, risks, and financial impacts to all relevant stakeholders.
  • Support the ICT Systems Implementation program and its sub-workstreams, including Laboratory Information Management Systems, ERP/D365 implementations and ICT support, Azure cloud implementation, network and infrastructure implementation, EAMS implementation, system integrations, and master data management, contributing to overall Site Operational Qualification readiness.

Essential Skills

  • Bachelor's degree in Information Technology, Business, Finance, or a related field, or equivalent experience.
  • 8-10 years of experience in an IT project coordination, project controls, or PMO role.
  • Proven experience supporting multiple concurrent projects in regulated, documentation-driven environments.
  • Strong working knowledge of waterfall project planning and dependency management.
  • Demonstrated ability in budget versus actual tracking, forecasting, and variance analysis.
  • Experience with project governance, change control, and reporting standards.
  • Proficiency with Microsoft Project and/or Smartsheet for project planning and scheduling.
  • Advanced skills in Microsoft Excel, including the ability to manage complex financial and resource data.
  • Proficiency in Microsoft PowerPoint, Teams, and SharePoint for reporting, collaboration, and documentation.
  • Experience using Jira for tracking and reporting project activities.
  • Exposure to or experience with financial systems such as SAP, Oracle, or D365.
  • Strong analytical and financial control mindset with the ability to interpret complex data.
  • High attention to detail and commitment to documentation quality and accuracy.
  • Structured, process-oriented execution style suited to regulated environments.
  • Ability to manage complexity across multiple projects and workstreams simultaneously.
  • Clear, professional communication skills with both technical and non-technical stakeholders.

Additional Skills & Qualifications

  • Experience in pharmaceutical, life sciences, medical device, financial services, or other regulated industries.
  • Familiarity with validation concepts, gated delivery models, and audit or compliance processes.
  • Exposure to financial systems and accrual processes, including SAP, Oracle, and D365.
  • CAPM, PMP (in progress or completed), or PRINCE2 Foundation certification.
  • Experience coordinating ICT systems implementation programs, including laboratory systems, ERP, cloud, infrastructure, EAMS, integrations, and master data management.

Work Environment

This role operates within a structured, regulated IT environment that emphasizes documentation quality, governance, and audit readiness. You will work closely with cross-functional teams and external vendors using tools such as Microsoft Project or Smartsheet, Microsoft Excel, PowerPoint, Teams, SharePoint, Jira, and financial systems like SAP, Oracle, and D365. The position follows a hybrid schedule with four days onsite and one day working from home each week, supporting multiple ICT systems implementation workstreams across laboratory systems, ERP, Azure cloud, network and infrastructure, EAMS, integrations, and master data management. Pay and Benefits

The pay range for this position is $45.00 - $70.00/hr.
