Seeking a highly organized and customer-focused Traffic Controller / Communications Assistant to support high-volume onboarding operations during the annual Open Enrollment hiring season. This individual will play a critical role in managing the flow of Technical Check sessions, facilitating communication with new hires, and ensuring onboarding activities run efficiently across multiple concurrent sessions.
The ideal candidate will possess strong communication skills, exceptional organizational abilities, and a general understanding of computer hardware, software, and workstation setup requirements.
Key Responsibilities:
- Manage participant movement between virtual breakout rooms during Technical Check sessions.
- Monitor waiting rooms, attendance, and participant engagement.
- Welcome new hires and provide clear onboarding session instructions.
- Communicate expectations, updates, and next steps to participants throughout the onboarding process.
- Coordinate with IT Support Technicians regarding troubleshooting and escalation needs.
- Track participant progress and maintain accurate session status records.
- Assist with administrative and operational tasks supporting onboarding initiatives.
- Support multiple concurrent or overlapping Technical Check sessions while maintaining organization and efficiency.
- Ensure participants are directed to the appropriate resources and support channels.
- Maintain a professional, positive, and welcoming experience for all new hires.
Qualifications:
- Strong customer service or customer-facing experience.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Ability to quickly learn and follow established processes and procedures.
- Comfortable working independently and as part of a team.
- Proficient with Microsoft Office applications, including Outlook and Teams.
- Experience with virtual meeting platforms and breakout room management preferred.
- Basic to intermediate understanding of computers, computer peripherals, and workstation setup.
- Ability to assist new hires with basic computer setup questions and identify common technical issues for escalation to IT Support Technicians.
Preferred Experience
- Previous experience supporting onboarding, training, call center, workforce management, scheduling, or operational coordination functions.
- Experience in a high-volume, fast-paced environment.
- Familiarity with remote workforce operations and virtual onboarding processes.
