Primary Responsibilities

Materials Management

  • Coordinate inventory needs, procurement, and vendor communication
  • Manage cycle counts, par levels, and inventory accuracy
  • Replenish joint venture supply areas and process electronic orders
  • Track ordering, receiving, and stocking of surgical supplies
  • Maintain supply organization, charge sheets, and implant logs
  • Support Surgery and Sterile Processing to ensure instruments/implants are ready and reduce procedure delays
  • Prepare case carts for scheduled and emergent procedures
  • Resolve supply/instrument issues to prevent delays or cancellations
  • Track out-of-facility items for return, billing, and documentation
  • Monitor vendor compliance and report issues per hospital policy

Clerical & Administrative

  • Maintain accurate inventory, ordering, and cost records
  • Update Surgical Information System catalog (add/update/remove items)
  • Ensure accurate data flow across charge lists, preference cards, and billing systems
  • Conduct routine inventory audits (owned and consigned)
  • Maintain charge codes and support accounting updates
  • Prepare reports, forms, and inventory documentation
  • Order office supplies and support cost control
  • Manage multiple priorities in a fast-paced environment

Business & Financial Operations

  • Support inventory budgets and consignment management
  • Maintain vendor pricing, contacts, and product data
  • Track usage, returns, surplus, and damaged inventory
  • Assist with invoice review and consignment movement analysis
  • Forecast par levels using usage trends and reports
  • Compile monthly utilization and inventory reports
  • Build strong relationships with physicians, vendors, and teams

Quality, Safety & Compliance

  • Support safe, high-quality patient care through accurate supply management
  • Ensure compliance with federal/state regulations, Department of Health, The Joint Commission, HIPAA, and internal policies
  • Participate in quality improvement initiatives

Qualifications

Education & Experience

  • 2+ years in supply chain, inventory, clinical operations, retail, or related field preferred
  • Understanding of how supply chain impacts clinical care, cost, and quality

Skills & Abilities

  • Strong attention to detail and analytical skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and teamwork skills
  • Proficiency in inventory systems, Microsoft Office, barcode systems, and Epic (or similar)
  • Basic financial/math skills (ratios, percentages, trends)
  • Problem-solving and organizational skills
  • Knowledge of surgical supplies/implants preferred

Work Environment

  • On-site, hands-on clinical/support role
  • Frequent standing, walking, and lifting (up to 50 lbs occasionally)
  • Fast-paced hospital environment with moderate noise
  • Active collaboration across clinical and supply chain teams
