A reputable investment firm, with an impressive $3B in assets under management, is on the lookout for a meticulous Assistant Office Coordinator to enhance the daily functioning of their bustling New York hub. Directly collaborating with the Office Manager, this role requires a commitment to fostering an outstanding work environment and providing exceptional administrative backing to senior management. Stationed in Midtown Manhattan for 4 days a week, with occasional travels to Stamford, CT, this role is integral to our streamlined operations.
Responsibilities:
- Manage the front desk by welcoming visitors and handling phone inquiries professionally.
- Organize and oversee meeting schedules, executive calendars, and facilitate efficient conference room usage.
- Compile, manage, and archive various financial documents and communications with precision.
- Perform routine data entry procedures to keep records current and accurate, both in digital and physical formats.
- Handle all mailroom activities, including the dispatch and reception of mail and packages.
- Oversee office supplies inventory and coordinate replenishments with suppliers as needed.
- Assist in the creation of professional presentations and meeting documents.
- Organize travel accommodations and process expense claims for the staff.
- Ensure the seamless operation of office machinery and coordinate necessary repairs.
- Uphold strict confidentiality protocols when dealing with sensitive information.
- Provide wide-ranging administrative assistance to company executives, consultants, and office personnel.
Qualifications:
- Bachelor's degree required.
- At least 5 years of experience in administrative roles within financial or similar sectors.
- Professional background in financial services, banking, or corporate settings considered essential.
- Proficiency in office software and familiarity with document management systems.
- Understanding of financial sector terminology and best practices.
- Skilled in Microsoft Office Suite applications.
- Strong proficiency in written and verbal communication.
- Exceptional organizational skills coupled with excellent time management.

Compensation and Benefits:
- The base salary ranges from $115,000 to $135,000, complemented by a performance-related bonus.
