The Laboratory and Diagnostic Imaging Coordinator is a member of the multi-displinary team at the Student Health Center(SHC) in the Medical Clinics, including general medicine, gynecology, and specialty care. This position coordinates immunization management and compliance and laboratory and diagnostic imaging test processing functions. The Coordinator is responsible for accurate documentation and billing, complex report generation, and quality improvement functions. Should have a deep appreciation for a collaborative care model, partnering with all areas of the SHC, and be committed to advancing the divisional priorities of commitment to quality, communicating a sense of home, designing with everyone in mind, and cultivating a working relationship with Our Lady of the Lake Health.
JOB RESPONSIBILITIES:
Direct Student Support - 40%
Checks in patients for lab and imaging services and initiates patient tracking in Epic following established policies and procedures. Reviews immunization status and issues related communication to support compliance with university and state requirements. Enters immunization records received from students. Provides guidance to student staff assigned to the lab/immunization area. Manages incoming communication from fax, phone, email, and the Patient Portal promptly and appropriately. Maintains accurate insurance eligibility by verifying information at each patient encounter.
Quality Control and Customer Care - 30%
Greets and directs patients and visitors in a friendly, prompt, and helpful manner. Supports a positive patient experience by providing excellent customer service and clear communication. Maintains patient confidentiality and a working knowledge of all relevant policies, including HIPAA and eligibility requirements. Manages inbound and outbound calls in a warm, professional manner and accurately relays messages. Uses spreadsheets, Epic, the electronic clinic management system, the university mainframe, and other software systems to generate reports that support immunization compliance, management, and quality improvement efforts.
Resource Oversight - 25%
Collects self-pay balances owed and accurately records credit card transactions. Reconciles individual daily receipts and money collected with end-of-day reports to confirm balances and reports discrepancies to management, when applicable. Identifies opportunities for process improvement and communicates recommendations appropriately. Investigates clinic management system errors and works with laboratory leadership and the information technology team to develop solutions. Audits information for accuracy and completeness.
Other Duties as Assigned - 5%
Other duties as assigned by the Executive Director, Medical Director, and direct supervisor. This includes but is not limited to efforts that support broad division/institution efforts including engaging in in-service opportunities for the division, and other special projects.
