Job Description:
Work Environment
- New lab build-out project
- Coordinating with vendors to install lab assets shipping from various Client locations
Typical Day-to-Day Responsibilities
- Validate readiness before vendor visits
- Register and escort vendors from security to laboratories
- Provide critical instructions before work begins
- Update team documents
- Keep project documentation organized
- Send emails and perform administrative tasks
Key Responsibilities
- Collaborate with on-site teams to maintain asset information
- Manage on-site vendor visits
- Assist in collecting and organizing vendor documentation after field visits
- Monitor daily progress, identify potential delays, and proactively plan upcoming activities
- Support vendor coordination by validating equipment, space readiness, and availability of supplies
- Manage expectations and provide consistent updates
- Utilize project tools such as SmartSheet, Excel, and Microsoft Office to track tasks and dependencies
- Support continuous improvement through post-vendor visit reviews and implementation of lessons learned
- Maintain a safety-first mentality
- Validate proper PPE usage and adherence to safety guidelines
Must-Have Skills
- Familiarity with a wide range of lab equipment and general laboratory environments is desirable
- Hands-on equipment experience is not required
- Proven ability to work efficiently and responsively in a fast-paced environment
- Comfortable working in laboratory environments and following Health, Safety & Environment guidelines
- Ability to work independently without detailed instruction
- Effective written and verbal communication, including conference calls
Nice-to-Have Skills
- Experience working with cross-functional teams and external vendors in a collaborative environment
- Bachelor's degree preferred
Qualifications
- Years of Experience: 1-2 years
- Education: High School Diploma
- Software Skills: Intermediate or higher proficiency with Microsoft Office Suite (Excel, Outlook, etc.)
