Primary Duties and Responsibilities

The following duties are customary for this position but are not to be construed as all-inclusive. Duties may be added, deleted, and assigned based on management discretion and institutional needs.

Responsible for communication with vendors who provide supplies and equipment to campus.

Enforces WKU policies, procedures, and work standards to ensure adequate performance and personnel safety and reports all disciplinary issues and concerns to Management.

Inspects completed work to ensure conformance to WKU operating standards.

Schedules work depending on work priorities, staffing, equipment availability, supported crew requirements, and/or weather conditions.

Ensures stock for all DFM Groups is ordered, received, checked in, unpacked, stocked, and recorded, utilizing the current CMMS program or other management system as directed.

Ensures CMMS or other Inventory modules are accurate and up-to-date with costs and accurate inventory information.

Verifies inventory computations by comparing them to physical counts of stock and investigates discrepancies and/or adjusts errors as appropriate.

Checks out and distributes supplies to Facilities Management employees.

Coordinates uniform ordering with Business Operations Manager and ensures the distribution of uniforms to Facilities Management employees.

Responsible for usage of WKU credit cards, logging procurement card purchases into DFM work order system, and reconciliation of credit card purchases consistent with WKU credit card procedures.

Responsible for filing and maintaining paperwork for all completed purchases made by DFM through the stockroom.

Monitors/leads stock room project activities to ensure that instructions are followed, deadlines are met, and schedules are maintained.

Trains employees in all tasks & equipment necessary to perform their jobs and provides employees with assistance in performing duties as necessary to meet deadlines.

Reviews time sheets for accuracy and adherence to the WKU attendance policy.

Performs computer work such as emails, spreadsheets, word processing, internet parts research, memos, etc.

Operates University vehicles.

Secondary Duties and Responsibilities

Directs activities of stockroom staff to receive, store, and issue supplies and equipment, keep inventory records, and provide exceptional customer service.

Communicates bilaterally with other supervisors within DFM to ensure that services are provided in an efficient, fully transparent, and timely manner.

Performs related duties as assigned.

Job Requirements

  • High School Diploma or GED equivalency
  • Working knowledge of the Microsoft office suite
  • At least two years of experience in shipping, receiving, storing, issuing, and accounting for supplies, materials, and equipment
  • Must possess and maintain the ability to drive WKU vehicles according to WKU authorized user driver policies

Additional Information

  • Hourly Range: $18.00 - $22.00
  • Kentucky state law requires all public institutions of postsecondary education to conduct pre-employment criminal background checks to determine suitability for employment.
