About the Role

Once Upon a Time Hospitality is seeking a detail-oriented, technically fluent Lead Digital Account & Project Manager to lead hotel and restaurant website builds from discovery through launch and beyond. You will manage the day-to-day workflow of development teams, ensure deliverables meet client and brand expectations, and serve as the primary point of contact across internal and client stakeholders.

This role is rooted in website project leadership — from sitemaps and specs to QA and go-live. Secondary responsibilities include managing ongoing client retainers and overseeing the production of digital marketing assets.

Key Responsibilities

Client Communication & Strategic Guidance

  • Act as the main client-facing contact throughout the website project lifecycle.
  • Translate business goals and brand needs into structured digital plans and roadmaps.
  • Set expectations, communicate progress, and provide guidance on timelines, deliverables, and technical tradeoffs.
  • Guide clients through content submission, feedback cycles, and launch planning.

Website Projects (Primary Focus)

  • Manage hospitality website projects from inception through launch, including discovery, scoping, timeline creation, content coordination, QA, and delivery.
  • Serve as the bridge between client teams and internal developers/designers — ensuring clarity of requirements and accurate execution.
  • Own technical documentation: timelines, sitemaps, use cases, content trackers, and feedback logs.
  • Conduct comprehensive QA (cross-browser, mobile responsiveness, functionality) and confirm design fidelity and user experience.
  • Coordinate and prioritize tasks for the development team using Jira or other PM tools.
  • Facilitate problem-solving and decision-making on technical issues; flag blockers early and communicate realistic solutions.

Digital Marketing (Secondary Focus)

  • Support retainer clients with digital deliverables such as landing pages, display ads, and seasonal campaigns.
  • Brief and manage internal teams on digital design and content needs across marketing channels.
  • Maintain marketing task calendars and track retainer scope/hours.
  • Ensure that all creative materials are aligned with brand standards and executed on time.

Key Requirements

  • 4+ years of experience managing website projects and development teams in an agency or client services setting.
  • Strong command of web production workflows, including UX/design handoff, front-end/back-end dev, QA, and deployment.
  • Excellent project planning and documentation skills (timelines, roadmaps, specs, tickets).
  • Proficiency with project management tools (Jira, Asana, or similar).
  • Confident communicator with clients and internal stakeholders; can simplify technical concepts for non-technical audiences.
  • Experience working with hospitality, luxury, or fine dining brands.
  • Hands-on experience with CMS content entry and website updates.
  • High attention to detail, a sense of ownership, and the ability to manage multiple complex projects simultaneously.
  • Based in New York City; legally eligible to work in the U.S.
  • Minimum three days per week in-person in the New York office.

Nice to Have

  • Working knowledge of analytics, SEO, or ADA compliance.
  • Familiarity with hospitality tech (booking engines, CRM integrations, etc.).
  • Experience producing creative briefs and reviewing marketing-focused design work.
  • Copywriting or content editing experience is a plus.
