Job Description and Performance Standards

Title: Lead Inventory Specialist/Buyer 558005152

Department: Materials Management

Reports To: Materials Manager

JOB SUMMARY

Leads in the performance of Inventory Control functions while performing a wide range of duties to facilitate the operations of the storeroom. Maintains appropriate inventory levels for all items within the storeroom and generates and processes replenishment and requisition of stock. Responsible for purchasing transactions following the established guidelines and contracts.Responsible for the efficient operation of assigned purchasing services by creating, editing and maintaining the integrity of replenishments, requisitions, and purchase orders for materials and supplies for the storeroom. Responsible for requisition and purchase order tracking and documentation, in both physical and electronic form across multiple system applications. Ensure that materials and supplies are purchased in accordance with regional and national group purchasing agreements e.g. Vizient. Resolves and manages purchase order exceptions through the GHX database. Conducts detailed problem solving with Accounts Payable, vendors and appropriate staff/departments. Negotiates pricing, delivery, discounts and terms with suppliers and transport carriers. Works closely with inventory control to monitor movement of inventory, communication regarding the addition of new products to stock and resolves any supply backorder issues. Coordinates closely with the Materials Manager for all additions or deletions of products, prices and unit measure changes that would affect the HHCS item master. This position is responsible for, through resolving any inventory errors or discrepancies that occur with the use of effective problem solving and finding the root cause. Submits and provides explanations for inventory adjustments to the Materials Manager. Analyzes and explains inventory variances. Coordinates and assists in performing physical inventory at least twice annually or as directed. Leads in receiving and stocking supplies for general storeroom and organizes and maintains storeroom according to policy. Maintains inventory accuracy for storeroom by binning and picking merchandise utilizing the inventory management system. Completes stock audits, works inventory exceptions and corrects stock errors. Communicate with customers regarding requisitions for stock items and work to resolve any delivery issues. Identifies poor inventory practices and low in-stock levels. Responsible for Cycle counting schedules set up by the Materials Manager by coordinating with the stockroom Supervisor to have counts conducted by the Stock technicians. Responsible for overseeing or facilitating the daily delivery of Workday supply requisitions per established delivery schedules. Provides training and support for the Materials Handlers. Communicate with the Buyers, Receiving and Distribution Staff to ensure the timely purchase, receipt and issuance of supplies throughout the hospital. Maintains organization and cleanliness in the storeroom area. Performs all duties and maintains all standards in accordance with company policies and procedures. Performs other duties as assigned.

JOB QUALIFICATIONS

Education: High School graduate. Associate’s degree preferred.

Licensure:  None.

Experience: Two years previous work experience in an inventory control position; or equivalent combination of education and experience that provides the required knowledge, skills, and abilities.  Previous experience with a perpetual inventory system in a hospital supply environment is preferred.

Skills:    Requires excellent communication and analytical skills.  Acquire and maintain knowledge of MMIS computer system, Workday and Microsoft Outlook.  Requires the ability to prioritize and complete assignments in a timely manner.  The ability to work under pressure and attention to detail.  Requires the ability to identify potential inventory problems in advance and preempt them or minimize them.  Demonstrates knowledge of standard concepts, practices and procedures of inventory control and supply logistics, Ability to use judgment to plan and accomplish departmental goals and the ability to set work priorities.  Ability to handle a variety of complex clerical tasks as part of the inventory control function. Ability to lead, communicate and influence others to accomplish department goals and objectives.

ENVIRONMENTAL AND WORKING CONDITIONS

Routine Storeroom / Warehouse / Receiving environment which must be kept clean, secured and always organized. Working environment includes some exposure to cold and warm working conditions.  Can be noisy environment due to proximity of receiving dock.
