Lead Project Coordinator – Lead the Team That Runs the Schedule 

Salary Range: $50,000-$62,000 Depending on Experience

This role leads the Project Coordinator team, ensures schedule accuracy, drives accountability, and keeps our operations running with precision.

The Experience We’d Love To See:

  • 3–5 years of experience in project coordination, construction operations, or similar roles
  • Proven experience supervising, mentoring, or supporting other staff
  • Strong organizational and planning skills
  • Excellent written and verbal communication
  • Ability to manage multiple priorities with accuracy and calm
  • Strong PC and internet skills (Word, Excel, Outlook, PowerPoint)
  • Customer‑first mindset with a commitment to accountability
  • Experience in construction or trades environments preferred

What You’ll Lead & Own:

Operational Leadership & Ownership

  • Own daily and next‑day scheduling, dispatching, and real‑time schedule adjustments
  • Direct Project Coordinators, assign workloads, and rebalance staffing to maintain operational flow
  • Ensure continuity of coverage and cross‑training so the department remains stable
  • Make scheduling decisions independently and escalate only when necessary

Accountability & Performance Management

  • Hold Project Coordinators accountable to standards, processes, and expectations
  • Provide immediate correction of issues with same‑day resolution whenever possible
  • Recommend disciplinary actions, staffing changes, or performance improvement plans
  • Monitor attendance, communication quality, and adherence to scheduling processes

Operational Execution

  • Ensure all paperwork, VPOs, subcontractor approvals, and documentation are accurate and on time
  • Manage warranty scheduling, on‑call rotations, and defective product/back‑charge workflows
  • Maintain proactive communication with builders, customers, installers, and internal teams
  • Resolve escalations quickly and professionally, minimizing downtime and return trips

Cross‑Department Collaboration

  • Coordinate with purchasing, warehouse, quality inspection, and field teams
  • Communicate job status, progress, and changes to all relevant stakeholders
  • Participate in internal and external meetings as the scheduling department leader

Leadership, Coaching & Development

  • Mentor, coach, and train Project Coordinators to improve consistency and accuracy
  • Build a strong, cross‑trained team capable of maintaining stability without constant intervention
  • Lead process improvements, workflow documentation, and departmental standardization

Requirements:

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • 3–5 years of experience in project coordination, construction operations, or similar industry roles.
  • Proven experience supervising or mentoring other staff members.
  • Strong PC and internet skills, including MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational, planning, and problem-solving abilities.
  • Strong attention to detail with the ability to manage multiple priorities simultaneously.
