POSITION OPENING - Learning Services Secretary

START DATE - Beginning of the 2026-2027 School Year

LOCATION: Administrative Office

SALARY - Compensation will be based on the applicable provisions of the BESA Secretary Schedule

POSITION SUMMARY - To provide comprehensive administrative support to both the Teaching and Learning Department and the Student Services Department. The secretary will play a crucial role in facilitating smooth operations and effective communication within and between these departments. This position aims to enhance the efficiency and effectiveness of department activities by managing day-to-day administrative tasks, coordinating meetings and events, maintaining accurate records, and serving as a reliable point of contact for staff, students, and external stakeholders. Through meticulous organization and proactive assistance, the secretary will contribute to the departments' goals of delivering high-quality educational programs and services to ALL students.

QUALIFICATIONS

Candidates must:

  • Successful experience as a secretary

  • High School diploma required; successful completion of a college level course in budget/data management, or equivalent, is preferred. The equivalent can include experience with computer applications.

  • Effective organizational skills

  • Ability to prioritize and meet deadlines with accuracy and little supervision

  • Experience with technology; demonstrate competency in:

  • Keyboarding and word-processing (letters, brochures, charts/graphs, calendar, etc.)

  • Development and use of spreadsheets

  • File management

  • Email and web use

  • Windows/Google operating system

  • Desk-top publishing

  • Willingness and ability to learn to develop electronic presentations and spreadsheets

  • Use of networked systems

  • Record-keeping ability, skill in:

  • Accurate data collection

  • Effective data organizing

  • Precise recording and informative sharing of data

  • Competency in Math

  • Excellent written and oral communication skills

  • Maintain confidentiality

  • Demonstrate willingness and ability to process complex directions and implement them effectively in a busy "multi-tasking environment"

  • Demonstrate dependability, initiative, and problem-solving ability

DUTIES AND RESPONSIBILITIES:

  • Perform office/clerical responsibilities assigned by the Directors of T&L and of Student Services
  • Handle phone and email correspondence
  • Assist with coordinating the pupil accounting process and maintaining records, preparing count reports with accuracy for submission to Oakland Schools as it relates to at-risk and special education students
  • Maintain special education files including support with data entry and pupil accounting reporting
  • Create and maintain Special Education data bases for State M-Step and MI-Access Test data for all Special Education students
  • Assist with assessment management as needed in Illuminate, NWEA, and College Board
  • Coordinate Medicaid procedures
  • Perform other related duties as assigned
