Leasing Administrative Assistant

Location: San Mateo, CA 94403

Pay Rate: $22 to $26/hour

Schedule: Monday-Friday, 8:30 AM-5:00 PM (40 hours/week)

Start Date: ASAP

Assignment Length: TBD, ongoing

Position Overview

We are seeking a detail-oriented Leasing Administrative Assistant to support the daily operations of a busy property management office in San Mateo. This role is ideal for someone who enjoys administrative work, organization, customer service, and maintaining accurate records. The Leasing Administrative Assistant will provide clerical and operational support to help ensure efficient property management and resident services.

Responsibilities

  • Provide administrative support for leasing and property management operations.

  • Manage correspondence, phone calls, and resident inquiries in a professional manner.

  • Maintain accurate resident, applicant, and property files.

  • Prepare, process, and organize leases, renewals, and related documentation.

  • Enter and track data in property management systems and spreadsheets.

  • Assist with waitlist management and applicant record maintenance.

  • Schedule appointments, meetings, resident events, and inspections.

  • Support resident recertification and compliance documentation processes.

  • Coordinate and organize files for audits and compliance reviews.

  • Assist with document preparation, scanning, filing, and record retention.

  • Ensure all resident and property information is maintained accurately and confidentially.

  • Provide general office support and perform other administrative duties as assigned.

Qualifications

  • Previous administrative, office support, leasing, or property management experience preferred.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.

  • Ability to manage multiple priorities and maintain accuracy in a fast-paced environment.

  • Strong customer service skills and professional demeanor.

  • Experience with affordable housing or property management documentation is a plus.
