Our client is a well-established commercial real estate company based in Los Angeles, CA. They're looking for a Leasing Associate to support their Vice President of Leasing across lease administration, tenant coordination, and team operations. The role touches nearly every stage of the leasing process, from prospect application through tenant move-in. It's a high-volume, detail-driven position with real visibility into the deal-making side of the business.

Responsibilities:

  • Draft and process leases, amendments, and owner approval letters using company-standard forms.
  • Maintain portfolio-wide tracking of exclusive use clauses, first right of refusal provisions, and signage rights.
  • Keep leasing pipeline and CRM data current on a daily basis, ensuring accuracy across all deal stages.
  • Handle legal notices, name changes, sales report requests, and tenant correspondence as needed.
  • Compile and process prospect leasing applications, following up on any outstanding documentation.
  • Assemble new tenant lease files and track critical dates from lease execution through commencement.
  • Conduct weekly check-ins with new tenants from lease signing through store opening.
  • Partner with the accounting team on lease setup, rent schedules, and related financial records.
  • Process administrative lease renewals and assignments under direction from the leasing team.
  • Maintain organized physical and digital lease filing systems.
  • Prepare meeting agendas, attend leasing meetings, and distribute detailed notes and action items to stakeholders afterward.
  • Schedule meetings and conference calls and manage calendar invitations for the leasing team.
  • Build and manage critical date calendars covering option exercises, lease expirations, and key milestones, issuing timely alerts.
  • Draft, edit, and send Letters of Intent on behalf of leasing team members.
  • Produce area retail maps, site plans, and other lease exhibits.
  • Coordinate document organization, filing, and meal arrangements for leasing personnel.
  • Provide general administrative support to the leasing team as needed.

Minimum Qualifications

  • 2 years of experience in retail, office, or commercial real estate leasing.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Preferred Qualifications

  • Experience working in a retail real estate leasing environment.
  • Familiarity with CRM platforms used in commercial real estate.
  • Proficient in Adobe Photoshop and Illustrator.
  • Demonstrated ability to exercise independent judgment and adapt to shifting priorities.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities under deadline pressure.
  • Clear written and verbal communication skills.
