The Leasing & Occupancy Specialist II is responsible for performing leasing functions, completing compliance paperwork, and training others.
Where will this role work?
Riverside Plaza is a large, 1,303-unit affordable housing community located in Cedar-Riverside, Minneapolis, MN.
Schedule:
Core business hours are Monday-Friday 8 AM - 5 PM.
ESSENTIAL FUNCTIONS
- Manage prospects by answering incoming calls and internet leads. All inquiry calls and emails must be returned promptly.
- Assists applicants with the application process by explaining all applicable forms. Ensures applications are accurate and complete.
- Conducts credit and criminal background checks for applicants. Notifies rejected applicants immediately in writing.
- Submits completed applications to Property Manager / Compliance Manager for approval in timely manner.
- Contacts and offers units to approved applicants.
- Contact and offer units to current residents for approved unit transfers. Prepare all required transfer paperwork and complete transfers with residents.
- Shops comparable projects in the marketplace monthly.
- Develops community contacts to maximize the general awareness of the housing community and its advantages.
- Updates all applicable referral agencies.
- Follows up on all prospective residents in a timely manner.
- Input all traffic and applications in the property management system, Real Page daily.
- Informs management of common areas in need of cleaning or repair.
- Inspects daily curb-appeal.
- Aids in keeping office and lobby areas neat and clean at all times. Handles resident relations in a proper manner.
- Works closely with resident services staff to meet resident needs individually and as a group.
- Works closely with Property Manager in regard to all tasks assigned.
- Inspects vacancies before move-in.
- Schedules and conducts orientation for all new move-ins Updates turnover information on a daily basis to include gathering of move-out and move-in times.
- Keeps management informed at all times in the areas of resident/tenant and prospect complaints, status of vacancies/projected occupancy, any legal actions, and staff performance
- Works on the last day and first day of each month until responsibilities completed; some overtime may be required.
- Meets Company benchmarks for occupancy, rent collections and timely compliance paperwork.
- Maintain complete and accurate property files and records, according to department systems, with an emphasis on documentation for future reference.
- Coordinates with Corporate support staff on management company procedures for processing and distributing information.
- Must be respectful of resident/tenant privacy, including specific commercial tenant needs.
- Prepares all resident files to include all preparatory paperwork; prepares all move-in/out materials.
- Sends letters for offering units/cancelations/denials for all programs in a timely manner.
- Follows through with lease renewal including typing of pertinent forms.
- Ensures compliance with state, federal and local housing laws.
- Complies with all Sherman Associates, agency and city compliance requirements.
- Assists with subsidy administration in accordance with HUD rules and regulations.
- Trains Leasing & Occupancy Specialist I employees.
- Other tasks & duties as assigned based on business need.

Required Experience:
REQUIREMENTS
- 3+ years of industry experience within residential real estate; or an equivalent number of years of education and real estate management experience.
- Minimum one-year leasing/office experience, especially Section 42 and Section 8 programs.
- COS or other related professional certification preferred.
- Excellent verbal, written and presentation skills; Ability to communicate effectively with community tenants, vendors/external parties, and across corporate divisions.
- Knowledge of RealPage or other related property management software (Yardi, Lead2Lease, OneSite Accounting, etc.) strongly preferred.
- Understanding of Affordable Housing Programs (HUD/MFHA Programs) strongly preferred.
- A passion for the mission, vision, and values of Sherman Associates.
- Work overtime when necessary, including evenings and weekends.
- Office hours may vary due to the specific needs of the portfolio.
WORK ENVIRONMENT
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- Exposed to ambient room temperatures, lighting and traditional office equipment found in a typical office environment; quiet to moderate noise level.

Compensation and Benefits
Pay Range: $25.50/hour + commission/bonus eligibility. Pay is based on several factors which vary based on position; including experience, skills, and knowledge the selected individual is bringing to the specific job.
