Summary
The Leave Specialist administers the hospital's leave of absence programs, including FMLA, ADA/ADAAA accommodations, state-specific leave, personal leave, non-FMLA, short-term and long-term disability and workers' compensation-related leave. This role serves as the primary point of contact for employees, leaders, and HR throughout the leave process, ensuring accurate, timely, and compliant administration from intake through return to work. The Leave Specialist partners closely with Employee Health, HR, payroll, benefits, and department leaders to coordinate leave tracking, correspondence, and documentation while providing employees with a clear, supportive experience during what is often a difficult time.
Qualifications
Required:
Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent combination of education and experience.
Minimum of two (2) years of experience administering employee leave of absence programs, including FMLA and ADA.
Working knowledge of FMLA, ADA/ADAAA, USERRA, workers' compensation, and applicable state and local leave laws, including Nevada's paid leave law (NRS 608.0197) and the Nevada Pregnant Workers' Fairness Act.
Strong organizational skills and attention to detail, with the ability to manage a high volume of concurrent, time-sensitive cases.
Excellent communication, problem solving, and interpersonal skills, with demonstrated ability to handle sensitive and confidential information with discretion and empathy.
Proficiency with HRIS and/or leave management systems.
Preferred:
Healthcare industry experience preferred.
Certified Leave Management Specialist (CLMS) or similar leave/disability management certification.
PHR, SHRM-CP, or equivalent HR certification.
Essential Functions
Owns day-to-day case management of leave of absence files from intake through resolution and return to work, including short-term and long-term disability claims coordination and workers' compensation-related leave tracking.
Serves as the primary contact for employees requesting leave, guiding them through eligibility determination, required documentation, and applicable timelines.
Reviews and processes leave requests and medical certifications, tracking key dates and following up with employees, leaders, insurance carriers, and healthcare providers as needed.
Coordinates with payroll and benefits to ensure accurate pay status, benefits continuation, and premium payment during leave.
Partners with leaders to communicate leave status, expected return-to-work dates, and any workplace accommodations, while maintaining employee confidentiality.
Maintains accurate, organized, and compliant leave files and tracking logs in the HRIS and/or leave management system.
Monitors leave compliance with applicable federal, state, and local regulations (FMLA, ADA, USERRA, and applicable Nevada leave law) and hospital policy, escalating complex or high-risk cases to HR.
Coordinates interactive process discussions for workplace accommodation requests in partnership with the HR and department leadership.
Prepares leave-related correspondence, notices, and required legal postings/communications in a timely manner.
Tracks intermittent leave usage and partners with leaders and payroll to ensure accurate time reporting.
Provides guidance and training to leaders and employees on leave policies, procedures, and their responsibilities throughout the leave process.
Generates regular reports on leave utilization, trends, and compliance metrics for HR leadership.
Performs other related duties as assigned.
