The Administrative Specialist - Front Desk is the first impression of the State's Attorney's Office. In addition to greeting and addressing visitors needs in-person and via telephone, they will be responsible for performing work involving general administrative tasks while maintaining strict confidentiality. Responsibilities include preparing legal documents, filing, data entry, and general clerical duties. Must be able to navigate basic software programs.

ESSENTIAL JOB FUNCTIONS:

  • Prepare legal documents including motions, summons, subpoenas, petitions, and jury instructions.
  • Order lab reports, supplemental reports, and copies of evidence and other documents necessary for court.
  • Process requested data tender to defense in a timely manner.
  • Notify police officers and witnesses of court dates.
  • Interacts with staff from other departments, elected officials, and the general public in person or by telephone and responds to inquiries, receives complaints, and works to resolve problems.
  • Operate office equipment such as fax machines, copiers, phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Answer telephones and provide information to callers, take messages, or transfer calls to appropriate individuals.
  • Set up and maintain alphabetic and numeric files so documents can be filed and retrieved in an orderly fashion.
  • Reception duties include extensive public contact, greeting and assisting visitors to the State's Attorney's office and directing them to the appropriate person according to their needs.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Administrative and clerical procedures, processes for managing files and records, preparing legal documents, and other office procedures.
  • Strong interpersonal and organizational abilities, along with excellent oral and written communication skills.
  • Sensitively handle confidential matters, including all proceedings and privileged communication and records.
  • Understanding of terminology related to legal proceedings, processes and procedures.
  • Develop specific goals and plans to prioritize, organize and meet critical deadlines; follow up on assignments with minimal direction.
  • Knowledge of Microsoft Office including intermediate Excel, Word and PowerPoint; skills to navigate required county software.
