Advocates for Basic Legal Equality, Inc. (ABLE) is a regional non-profit law firm. Our mission is to pursue justice and equity, facilitate access to opportunities for people with low incomes through passionate legal representation, and provide steadfast advocacy for systemic reform. ABLE is affiliated with Legal Aid of Western Ohio (LAWO), also a regional non-profit law firm that provides legal assistance.
 
Job Summary:
The Administrative Assistant supports the Meaningful and Appropriate Education Practice Group by providing comprehensive administrative, case management, and client support services that help attorneys advocate for children and families facing barriers to educational opportunities. This position serves as an essential member of the team by coordinating case activities, preparing legal documents, maintaining case files, communicating with clients and educational partners, and supporting community outreach efforts.
 
The successful candidate is highly organized, adaptable, compassionate, and committed to ensuring children and families receive exceptional service while maintaining the highest standards of confidentiality and professionalism.
 
KEY RESPONSIBILITIES (other duties as assigned):
Administrative & Case Management
  • Manage client case files, including opening, maintaining, updating, and closing files in ABLE's case management system.
  • Process client applications, conduct conflict checks, maintain case notes, and generate reports.
  • Monitor attorney calendars, deadlines, and case-related documentation to ensure timely case progression.
  • Ensure compliance with ABLE policies, funding requirements, and record retention standards.
Legal & Practice Group Support
  • Prepare, proofread, and format legal documents, correspondence, reports, and other case materials.
  • Assist with electronic court and administrative filings, document management, and hearing preparation.
  • Coordinate attorney meetings, client appointments, and practice group activities.
  • Provide administrative support for community outreach events, legal clinics, and trainings.
Client & Community Relations
  • Serve as a professional point of contact for clients, schools, community organizations, and other stakeholders.
  • Schedule appointments, respond to inquiries, and maintain confidentiality in all client interactions.
  • Support communication between attorneys, clients, educational partners, and service providers.
Office Operations
  • Process incoming and outgoing mail, maintain office supplies, and support daily office operations.
  • Manage scanning, electronic filing, document organization, petty cash, and client trust account activities.
  • Provide backup administrative support across practice groups and assist with office events and meetings as needed.
SCOPE & IMPACT:
This position ensures smooth administrative operations within the practice group and office, directly impacting the quality and efficiency of client services.
 
MINIMUM REQUIREMENTS:
  • Relevant secretarial/administrative experience and skills.
  • Proficiency in MS Office, email, and calendaring tools.
  • Strong interpersonal and communication skills.
  • Commitment to client confidentiality and service to low-income individuals.
  • Organizational ability and attention to deadlines.
  • High degree of computer literacy for case management systems.
  • Valid driver’s license preferred.
PREFERRED REQUIREMENTS:
  • Experience in law office or public service setting.
  • Spanish fluency is preferred but not required.
SUPERVISORY RESPONSIBILITIES:
  • None
PHYSICAL DEMANDS/WORK ENVIRONMENT:
  • Work is performed in a normal office environment.
  • Requires frequent sitting, keyboarding, and face-to-face or phone communication.
  • Must possess a valid driver's license and be insurable.
  • May require walking several blocks or overnight travel.
  • New staff are required to work in the office full-time during their first 90 days of employment. Following this onboarding period, a hybrid work schedule is available with a minimum of four in-office days per week.
COMPENSATION, BENEFITS AND WORK LOCATION:
ABLE is committed to providing an equitable work environment, including a commitment to pay equity. The annual salary range for this position starts at $40,500 and increases depending on experience. ABLE offers comprehensive fringe benefits, including health insurance, annual leave, sick leave, supplemental language compensation and paid parental leave. This position will be based in Dayton.
