    • Prepare, revise, format, and proofread pleadings, motions, discovery, correspondence, and other legal documents for state and federal court matters.

    • Coordinate and manage electronic filings in state and federal courts and administrative agencies, ensuring compliance with applicable court rules and filing requirements.

    • Maintain attorney calendars and litigation deadlines by calculating, tracking, and monitoring critical dates.

    • Assist with the preparation of exhibits, hearing materials, appendices, and other complex filing packages.

    Matter Management

    • Support multiple attorneys across a variety of active matters while effectively managing competing priorities and deadlines.

    • Open and maintain client matters, assist with conflict checks, and help ensure files remain accurate and organized.

    • Track case activity, deliverables, and deadlines to keep matters progressing efficiently.

    • Proactively communicate with attorneys and team members regarding outstanding tasks, upcoming deadlines, and workflow priorities.

    • Exercise sound judgment in identifying potential issues and escalating concerns when appropriate.

    Document & File Management

    • Organize and maintain electronic and physical client files in accordance with firm procedures.

    • Maintain document organization, version control, and filing accuracy within the firm's document management system.

    • Regularly review workspaces to ensure files remain complete, organized, and easily accessible.

    Administrative Support

    • Assist attorneys with time entry and billing submissions.

    • Review billing entries for completeness and identify missing time or inconsistencies.

    • Process expense reimbursements and client-related costs as needed.

    Client Service

    • Communicate professionally with clients, courts, opposing counsel, vendors, and internal team members.

    • Draft routine correspondence and emails with minimal supervision.

    • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.

    What We're Looking For

    • 3+ years of experience as a Legal Assistant, Legal Secretary, or in a similar legal support role within a law firm.

    • Experience supporting multiple attorneys in a fast-paced legal environment.

    • Experience with state and/or federal electronic filing systems preferred.

    • Working knowledge of legal terminology, legal document preparation, court procedures, and litigation workflows.

    • Strong organizational and time management skills with the ability to manage multiple priorities in a deadline-driven environment.

    • Exceptional attention to detail and strong proofreading skills.

    • Excellent written, verbal, and interpersonal communication skills.

    • Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint, along with PDF editing software.

    • Experience with document management systems and legal technology platforms is preferred.

    • Ability to quickly learn new technology, adapt to changing priorities, and work both independently and collaboratively.

They anticipate needs, communicate proactively, and enjoy supporting a team while keeping multiple matters organized and on track.
