Sheets, Childs & Sandre PLLC, a municipal, real estate and condemnation law firm, is seeking a Real Estate Legal Assistant to support the primary real estate and right-of-way project manager and attorney team in a fast-paced, deadline-driven environment. This role is ideal for someone highly organized, detail-oriented, and experienced in property acquisition or general real estate support.ResponsibilitiesReal Estate & Right of Way Project SupportOpen and maintain new project and matter filesCreate and organize electronic and physical project files and document file sharing linksMaintain project spreadsheets and tracking logsRequest, receive, review, update, distribute and track land surveys, title commitments, appraisals, and related project documentsReview, draft, prepare, send required standard real estate purchase correspondence forms and enclosuresTrack statutory notice and response deadlines related to acquisition offersAssist with purchase negotiations and coordination between attorneys, appraisers, surveyors, title companies, and clientsAssist with drafting contracts, deeds, easements, closing documents, and other real estate transaction related formsCoordinate execution and recording of legal documentsPrepare and organize closing packages and acquisition documentation through title policyMaintain detailed project status spreadsheets, updates and communication logs through file closeoutLitigation & Legal SupportManage active condemnation readiness and procedural status trackingDraft condemnation litigation authorization and standard hearing form documentsSchedule and coordinate expert witness/consultant preparation meetingsTitle commitment update and managementPrepare hearing exhibits, binders, electronic display presentation and supporting documentation and attend hearings for support and management as requestedRequest and track standard hearing payment notice and deposit or delivery documentsMaintain administrative hearing deadlines, participant notices, and calendaring for attorneysCoordinate service of process and track hearing deadlines through completion of administrative stageOrganize and maintain administrative case files and supporting documentationEnter and track billable time and client expensesAssist with web-based property tracking database system entryAssist with client public meeting agenda, payment, and document signature request submission processMaintain organized electronic records within the firm's document management and billing systemsCoordinate meetings, calls, and project-related communicationsAssist with document scanning, file management, and records organizationPrepare reports, spreadsheets, and status summaries as requestedCommunicate professionally with clients, courts, vendors, title companies, and outside consultantsAssist with Zoom, Teams, and WebEx hearing or meeting setup as neededQualifications3–5 years of legal assistant, legal secretary, right of way, or real estate legal support experience preferredRight of way; condemnation, eminent domain, municipal law, or real estate experience strongly preferredStrong organizational, multitasking, and project coordination skillsAbility to manage multiple deadlines and priorities in a fast-paced environmentExcellent written and verbal communication skillsHigh attention to detail and accuracyProficiency in Microsoft Office, including Word, Excel, and OutlookExperience with e-filing systems and legal practice management software preferredAbility to work independently while also collaborating effectively with attorneys and staffSchedule: Monday–Friday, 8:00 AM – 5:00 PMLocation: In-office (Round Rock, TX) with possible flex schedule following trainingJob Type: Full-timeMedical, dental, and vision insurance401(k) with employer matchPaid time off and holidaysThis is an opportunity to join a dynamic legal team where you will contribute to the success of our clients' cases.
