QUALIFICATIONS

Required Qualifications

  • US citizenship required
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access) and Adobe Acrobat Professional
  • Experience with database management; Relativity experience is a plus
  • Strong written and verbal communication skills
  • Ability to interact professionally with attorneys, witnesses, court personnel, and staff at all organizational levels
  • Excellent customer service and interpersonal skills
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Ability to work collaboratively in a professional team environment
  • Skilled in handling sensitive situations with tact, discretion, and professionalism
  • Experience reviewing legal and non-legal documents, including motions, briefs, and related case materials
  • Knowledge of legal terminology, legal procedures, and witness management processes preferred

Preferred Experience

  • Prior experience in legal support, litigation support, witness coordination, or court administration
  • Familiarity with federal travel regulations and reimbursement procedures
  • Experience working in high-volume legal or government environments
RESPONSIBILITIES

Key Responsibilities

  • Coordinate and manage fact witness activities, including communication, scheduling, travel, lodging, and reimbursements.
  • Serve as the primary point of contact for fact witnesses by receiving visitors, fielding phone calls, answering questions, and providing procedural guidance.
  • Arrange travel and lodging for witnesses in accordance with applicable federal guidelines and organizational procedures.
  • Notify witnesses of court dates, pre-trial conferences, grand jury appearances, and travel details while identifying and addressing special needs or circumstances.
  • Coordinate with attorneys and legal personnel regarding witness appearances, authorizations, and special witness considerations, including international, military, federal employee, or hostile witnesses.
  • Meet witnesses upon arrival, provide courtroom orientation, escort witnesses as necessary, and ensure safe waiting accommodations.
  • Prepare, process, and reconcile witness reimbursement documentation, including vouchers and related travel records.
  • Coordinate with courts, probation offices, pretrial services, law enforcement agencies, and other stakeholders as required.
  • Draft and prepare correspondence, recurring legal documents, and administrative records related to witness coordination.
  • Maintain accurate witness files, databases, calendars, and schedules for active and pending witness appearances.
  • Track hearings, trial dates, grand jury proceedings, and scheduling conferences.
  • Perform additional administrative and logistical duties related to witness management as assigned.
