Legal Billing Specialist

A well-established, mid-to-large professional services organization is seeking a detail-oriented Legal Billing Specialist to join its finance team. This role is responsible for managing the full billing cycle, ensuring accurate and timely invoicing, and maintaining compliance with client billing guidelines and internal policies. The ideal candidate will have experience working in a fast-paced environment with high invoice volume and complex billing requirements. This potion is direct hire / permanent placement and will pay between $55K and $70K annually.

Responsibilities

  • Managed the full billing cycle for assigned attorneys, including preparation, review, and finalization of client invoices
  • Reviewed attorney time entries and expense reports for accuracy, completeness, and compliance with billing guidelines
  • Generated and edited prebills, incorporating revisions based on attorney feedback prior to final invoice distribution
  • Ensured all invoices aligned with client fee agreements, rate structures, and firm policies
  • Processed electronic billing submissions through various e-billing platforms and resolved invoice rejections as needed
  • Researched and resolved billing discrepancies, inquiries, and disputes in a timely manner
  • Maintained accurate billing records, including client accounts, billing instructions, and supporting documentation
  • Monitored accounts receivable and partnered with internal teams to support collections and cash flow management
  • Prepared billing reports and provided insight on billing activity, aging, and outstanding balances
  • Collaborated with attorneys, legal staff, and clients to ensure efficient and accurate billing operations

Qualifications

  • 3+ years of billing experience within a law firm or professional services environment
  • Strong knowledge of legal billing processes, including e-billing and client billing guidelines
  • Proficiency with legal billing software (e.g., Elite, Aderant, SurePoint, or similar systems) and Microsoft Excel
  • Experience with LEDES formats and electronic billing platforms preferred
  • High level of accuracy and attention to detail when working with financial data and large volumes of invoices
  • Strong communication skills with the ability to interact effectively with attorneys, staff, and clients
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Solid understanding of accounts receivable processes and billing compliance requirements
  • Associate or bachelor's degree in accounting, finance, or related field preferred
