ABOUT THE POSITION: Reporting to the Coordinator of Legal Services, the Legal Clerk provides directed clerical and administrative support for the District's centralized handling of legal matters, employee grievances, and Public Information Requests. The position is responsible for accurate document management, file maintenance, deadline tracking, and preparation of materials. The Legal Clerk performs work of a confidential nature and must maintain the highest standards of discretion and reliability. The Legal Clerk does not provide legal advice, interpret law or policy, independently determine the releasability of information under the Public Information Act, or exercise independent legal judgment. All questions requiring legal or policy determination are referred to the Coordinator of Legal Services or, through the Coordinator, to the District's contracted General Counsel. Key responsibilities include:
Public Information Request (PIR) Support Receive, log, and track Public Information Requests under the direction of the Coordinator of Legal Services. Coordinate with District departments to collect responsive documents as directed by the Coordinator. Assemble response packets and maintain the PIR tracking log and deadline calendar. Flag potential legal, privilege, or exemption issues for the Coordinator's review; do not independently determine releasability of any information. Legal & Grievance File Support Maintain and organize legal, grievance, and related confidential files (electronic and paper) under the Coordinator's direction. Scan, index, file, and retrieve documents accurately and promptly. Prepare document sets, packets, and exhibits as assigned for grievance proceedings, Board materials, or outside counsel. Assist with tracking of grievance timelines and hearing-related materials as directed. General Administrative Support Provide calendar, correspondence, and general clerical support to the Coordinator of Legal Services. Prepare routine correspondence, forms, and reports as assigned. Maintain confidentiality of all legal, personnel, and related information. Perform other duties as assigned that are consistent with the support nature and level of this position. QUALIFICATIONS: Education/Certification: High school diploma or GED required. Associate's degree or coursework in office administration, legal studies, or a related field preferred. Paralegal certification is not required. Special Knowledge/Skills: Strong attention to detail and ability to maintain accurate, organized files and records. Ability to handle highly confidential information with absolute discretion. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic document management systems. Ability to follow detailed written and oral instructions and to prioritize multiple time-sensitive tasks. Effective written and oral communication skills. Ability to work cooperatively with District and campus staff and to maintain professional composure under deadline pressure. Experience: Minimum of one (1) to three (3) years of clerical or administrative experience preferred. Experience in a legal, governmental, school district, or other highly confidential office setting preferred. Measures of Success Public Information Requests are logged, tracked, and advanced under direction within required timelines. Legal and grievance files are accurate, organized, and readily retrievable. Document packets and exhibits prepared for the Coordinator or outside counsel are complete and on time. Confidential and privileged information is consistently protected. The Coordinator of Legal Services receives reliable clerical and administrative support. WORKING CONDITIONS: Mental Demands Maintain emotional control under stress; manage multiple high-priority and confidential matters simultaneously. Work irregular or extended hours when time-sensitive legal, grievance, or Public Information Request matters require attention, including occasional Board meeting support outside regular hours. Physical Demands Prolonged sitting; occasional standing, walking, and light lifting of files and materials. CONDITIONS OF EMPLOYMENT / COMPLIANCE: Employment is contingent upon successful completion of all pre-employment reviews required by District policy and law, including criminal history record information review and any fingerprinting or other background-check requirements applicable to the position. The District may disqualify a candidate whose criminal history indicates a threat to students or employees or is otherwise inconsistent with the duties of the position. Where the position requires educator certification or other credentials, employment is contingent upon verification of valid credentials. Contract personnel must possess valid credentials before contracts are issued. Employees who earn certificates, endorsements, or higher degrees must file the required documentation with the District. Employees are expected to comply with all applicable Board policies, administrative procedures, and legal requirements governing employment, conduct, confidentiality, and assignment. Continued employment is subject to ongoing compliance with District expectations and applicable law.
