Outten & Golden LLP is seeking a Legal Executive Assistant in our New York office. The ideal candidate will have a positive, proactive, service-oriented approach, the ability to work with a range of people, and high attention to detail and standards. This position requires thorough knowledge of all firm administrative processes, IT systems, and research tools.The scope of responsibilities includes prioritizing, managing, and following through on multiple projects, and communicating effectively and professionally with clients, attorneys, and staff. We are committed to building relationships rooted in respect and trust to promote a sense of belonging for all of our employees.Responsibilities Maintain attorney calendar, including scheduling appointments within the office and making any necessary travel arrangementsMaintain contacts and track potential clients and referrals as receivedOpen and update matters in Filevine and OrionTrack and file client documents and contact informationEnter expense reimbursement and disbursement information into tracking softwareProcess invoicesOrganize and maintain case files including scanning and saving documents into FilevineDraft and edit letters, retainer agreements, and other basic legal documentsAssist with contacting clients and opposing counsel to coordinate conferences and callsConduct basic legal and internet research using CourtLink, PACER, Bloomberg, and WestlawEnter attorney timeProactively assume other duties as necessaryPhysical Requirements Prolonged periods of sitting at a desk and working on a computerMust be able to lift 15 pounds at timesQualifications Education and Experience: You have a minimum of 3 years of relevant experience in a law firm setting. You are proficient in Microsoft Word, Excel, and PowerPoint.Confidentiality: You must be able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm matters.Clear Communication and Attention to Detail: You have excellent written and oral communication skills, interpersonal skills, and a pleasant, professional telephone manner. You proactively communicate the status of your work and share updates with colleagues when necessary. You ensure that your work is mistake free.Flexibility and Organization: You are versatile and able to respond quickly and positively to shifting demands and opportunities. You are comfortable in an environment where your responsibilities may vary from day to day.
