Description

Launch your career in city government and take your first step into the legal field! The CBJ Law Department is seeking a Legal Office Assistant to join our team!

As the Legal Office Assistant for the City and Borough of Juneau Law Department, you'll work alongside attorneys and paralegals as part of the team that keeps municipal law operations organized and running smoothly behind the scenes.

This entry-level position offers a steady, in-person work environment with a high degree of independence and the opportunity to take ownership of a long-term initiative modernizing how the Law Department manages its legal records. Records management and archiving are the primary focus of the position, balanced throughout the week by routine office responsibilities and smaller projects supporting the department's attorneys and paralegals.

No prior legal or records management experience is necessary; we'll provide the training needed to learn the role and succeed. WORKING HOURS AND LOCATION

This position works Monday through Friday, 8:00 a.m. to 4:30 p.m. The Law Department offices are currently located at One Sealaska Plaza, Suite 202, in Juneau, Alaska. The Legal Office Assistant has a dedicated private office within the department.

Typical Responsibilities

As the Legal Office Assistant, the majority of your time will be dedicated to records management and archiving. You will work through long-term projects to review, organize, scan, label, and index closed legal files, helping convert paper records into organized and searchable electronic files. You will also help prepare records for secure storage or destruction in accordance with established procedures. Over time, your work will help reduce the department's reliance on paper records and make years of legal information easier for staff to locate and access.

Alongside your archiving work, you will provide day-to-day office coverage by answering phone calls, taking messages, monitoring shared email inboxes, and assisting occasional walk-in visitors. You will help make sure incoming information and requests are directed to the appropriate staff member quickly and professionally.

You will also support the attorneys and paralegals with a variety of smaller administrative and legal-support projects. This includes handling incoming and outgoing mail, scanning and assembling basic legal documents, updating legal reference materials, keeping shared office and conference spaces organized, assisting with minor technology troubleshooting, organizing, parsing discovery files for litigation casework, and other projects as assigned.

Minimum Qualifications

Education:

High School graduation or the equivalent.

Experience:

Three (3) months of work experience that includes clerical responsibilities.

SUBSTITUTION:

Post-secondary education may be substituted for the required experience on

the basis of: three (3) semester or four (4) quarter hours of post-secondary

education are equal to one month of experience
