The Legal Operations Assistant provides administrative, compliance, and document-management support for the organization's legal and corporate filing activities. This position maintains accurate tracking systems, monitors critical deadlines, prepares legal and compliance documentation, and coordinates business filings across multiple jurisdictions.

- Maintains internal tracking systems, including spreadsheets, compliance logs, filing calendars, and electronic databases.
- Monitors legal, regulatory, compliance, and corporate filing deadlines.
- Tracks deadlines for state filings, annual reports, business license renewals, and entity registrations.
- Prepares reports and status updates for leadership regarding compliance requirements, outstanding matters, upcoming deadlines, and completed filings.
- Cross-checks information in tracking systems to ensure accuracy, consistency, and completeness.
- Follows up with internal departments and external parties to obtain required documentation and information.
- Prepares, reviews, and submits business filings with Secretary of State offices and other government agencies across multiple jurisdictions.
- Tracks annual reports, renewals, amendments, registrations, certificates, and other entity-related filings.
- Maintains accurate records of all entity filings, confirmations, certificates, receipts, and related correspondence.
- Researches filing requirements, fees, forms, and submission procedures for various jurisdictions.
- Performs other duties as assigned.
Minimum Requirements
- Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
- Minimum of two (2) years of related experience
- Experience maintaining spreadsheets, compliance calendars, databases, or tracking logs
- Excellent organizational, proofreading, and time-management skills
- Ability to manage multiple priorities and meet strict deadlines
- Strong proficiency with Microsoft Excel, Word, Outlook, and electronic document-management systems
- Polished and professional demeanor with excellent verbal and written communication skills
Preferred Requirements
- Paralegal certificate, or related legal training
- Experience within a real estate brokerage
- Experience as a legal assistant, compliance specialist, corporate filings coordinator, or records manager
Knowledge
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint, and collaboration tools such as Microsoft Teams and SharePoint
- Knowledge of administrative practices, office operations, business correspondence, and records management
